IT Infrastructure Project Coordinator – Order Management & Tracking
Job Summary
The IT Infrastructure Project Coordinator is responsible for coordinating and tracking the end-to-end lifecycle of IT infrastructure orders, ensuring timely delivery of services, equipment, and provisioning activities across multiple stakeholders and teams. This role serves as the central point of coordination between customers, engineering teams, operations, vendors, and project managers to monitor order progress, resolve delivery issues, manage dependencies, and provide accurate status reporting.
The successful candidate will have strong organizational skills, attention to detail, and experience managing complex infrastructure requests involving servers, networking, cloud resources, data center services, and related IT deployments.
Key Responsibilities
Order Management & Tracking
Manage and track IT infrastructure orders from initiation through delivery and closure.
Monitor order milestones, dependencies, and service-level commitments.
Maintain accurate records of order status, timelines, risks, and completion metrics.
Coordinate order fulfillment activities across multiple technical and operational teams.
Ensure all order requirements, approvals, and documentation are complete before execution.
Track provisioning requests for compute, storage, networking, cloud, and infrastructure services.
Identify and proactively resolve order delays, bottlenecks, and process issues.
Stakeholder Coordination
Act as the primary point of contact for customers, internal teams, vendors, and project stakeholders regarding order status.
Facilitate communication between engineering, operations, procurement, logistics, and deployment teams.
Provide regular updates on order progress, risks, and expected delivery dates.
Escalate critical issues impacting delivery timelines and customer commitments.
Coordinate cross-functional activities required to meet deployment schedules.
Process Governance & Compliance
Ensure orders comply with established operational processes, policies, and approval workflows.
Maintain audit-ready documentation and order records.
Verify completion of required quality checks and deployment validations.
Support continuous process improvement initiatives to enhance order fulfillment efficiency.
Reporting & Metrics
Develop and maintain dashboards tracking order volumes, aging, cycle times, and delivery performance.
Produce weekly and monthly reports on operational performance and service delivery metrics.
Monitor SLA compliance and identify trends affecting order fulfillment.
Analyze recurring issues and recommend corrective actions.
Vendor & Supply Chain Coordination
Coordinate with vendors and suppliers regarding equipment procurement and delivery schedules.
Track hardware shipments and installation readiness.
Monitor vendor performance against delivery commitments.
Assist with resolving procurement and logistics-related issues.
Required Qualifications
Bachelor's degree in Information Technology, Business Administration, Operations Management, or related field.
3+ years of experience in IT operations, infrastructure coordination, order management, service delivery, or project coordination.
Experience tracking large volumes of infrastructure or technology service requests.
Strong understanding of IT infrastructure concepts including:
Servers
Networking
Storage
Cloud services
Data center operations
Experience using ticketing and workflow management tools such as Jira, ServiceNow, Salesforce, Oracle systems, or equivalent platforms.
Advanced proficiency in Microsoft Excel, reporting, and data analysis.
Excellent communication and stakeholder management skills.
Preferred Qualifications
Experience supporting cloud infrastructure environments (OCI, AWS, Azure, GCP).
Knowledge of ITIL Service Management practices.
Experience working in order fulfillment, service delivery, or provisioning operations.
Familiarity with supply chain, procurement, and asset management processes.
