Job Description

Primary Objectives

• Work closely with IT PMs & Business PMs to ensure smooth management of all administrative and support office operations within assigned projects and related initiatives.

• Assist IT PMs & Business PMs to ensure timely, accurate, and complete reporting of initiative statuses (including achievements, milestones, and value reporting) to management committees and Boards.

• Assist in the compilation, finalisation, and coordination of project documentation, including obtaining relevant sign-offs and ensuring proper filing.

• Assist in facilitating project meetings, including documenting meeting outcomes, minutes, and follow-up of action items.

• Support the preparation and updating of project documents and control artefacts (e.g. Risk, Issues, Change Request logs and checklists).

• Coordinate across IT and Business teams to consolidate project progress, status updates, and benefits tracking for reporting to relevant governance committees (e.g. GTLC, GDTC, GMC).

• Support overall project coordination across teams, including reporting, budgeting, administration, meetings, and documentation.

• Monitor project milestones, deliverables, and benefits realisationagainst the approved Project Plan, and follow up on delays or dependencies.

• Monitor and track risks, issues, and change requests (CR), ensuring timely mitigation, resolution, and follow-through of agreed actions.

• Support other ad-hoc project-related tasks or initiatives as assigned by IT & Business PMs

Key Responsibilities

-Project Coordination & Reporting:

  • Coordinate across IT and Business stakeholders to consolidate project status, progress updates, milestones, and benefits/value tracking for timely reporting to governance committees (e.g. GTLC, GDTC, GMC).
  • Facilitate project meetings including scheduling, agenda preparation, minutes taking, and follow-up on action items.
  • Assist IT and Business Project Managers in ensuring accurate and timely reporting of project updates, achievements, and key metrics.
  • Coordinate onboarding of new project team members and support team integration.

-Project Monitoring & Tracking:

  • Monitor project milestones, deliverables, budget against the approved project plan. •
  • Track progress and follow up on delays, dependencies, and action items to ensure timely delivery.

-Risk, Issue & Change Management:

  • Maintain and update risk, issue, and change request (CR) logs, ensuring completeness and accuracy.
  • Track mitigation and resolution actions and ensure timely follow-through with relevant stakeholders.

-Documentation & Governance Support:

  • Support preparation and maintenance of project reports, dashboards, and documentation
  • Assist in the preparation, compilation, and finalisation of project-related documents, including coordination of approvals and sign-offs.
  • Ensure proper documentation filing and maintenance in accordance with PMO standards.
  • Support the preparation and updating of project artefacts and checklists (e.g. RAID logs, project documentation).
  • Support overall project administration, including budgeting coordination, reporting, and general PMO activities
