Job Summary
- The Project Manager is responsible for leading the end-to-end delivery of IT System projects. The role requires the capability of coordinating cross-functional teams, external vendors, and diverse stakeholders to implement high-impact IT solutions. The Project Manager must ensure that all projects are delivered on time, within budget, and in full alignment with business requirements. The successful candidate will bridge the gap between technical requirements and business objectives, driving digital transformation across the organization. This position reports to the IT Director and is instrumental in ensuring that new assigned system implementations run smoothly, meet quality standards, and provide long-term benefits to the business.
Job Responsibilities
- Lead the full project lifecycle (Initiation, Planning, Execution, Monitoring, and Closing) for IT projects, such as CRM, HRMS or bespoke internal systems
- Serve as the primary point of contact for project stakeholders across different functions, ensuring clear communication of project milestones, risks, and project health status.
- Manage external consultants and software vendors to ensure deliverables meet contractual obligations, technical specifications, and timeline requirements.
- Collaborate with head of departments to manage the allocation of internal subject matter experts (SMEs) and IT resources to ensure project momentum.
- Maintain comprehensive project documentation, including detailed Project Plans, Customization Request, Risk Registers, and User Acceptance Testing (UAT) sign-offs etc
- Oversee the testing phases (SIT/UAT) and data migration strategies to ensure the integrity and performance of the system before go-live.
- Coordinate end-user training to ensure minimal disruption to business operations.
- Lead in the system deployment, coordinating between technical vendors and business leads to ensure a synchronized transition to the production environment.
- Define clear Go/No-Go decision points and maintain a robust *Rollback Plan* to protect business continuity in the event of critical deployment failure.
- Facilitate a formal handover from the project team to the IT Support team, including the delivery of final technical and lessons-learned documentation.
- Monitor project budgets and proactively identify, mitigate, and escalate risks or issues that could impact project delivery.
Person Specifications Education & Qualification
- Possess Diploma/Degree in computer science, Information Technology or a related field
- PMP (Project Management Professional), PRINCE2, or Agile/Scrum Master certification is a plus.
Relevant Experience & Years of Service
- At least 10 years of experience in IT-related positions in managing medium to large-scale business application implementations within a corporate environment, preferably in Retail industry
- Experience in managing all end-users, stakeholders, external consultants and vendors.
- Demonstrated experience in managing multiple concurrent projects or system changes, coordinating cross‑functional teams and external vendors.
Technical Skills, Professional Knowledge & Competencies
- Good verbal & written communication skills in English and Bahasa Malaysia, with the ability to explain technical issues clearly to non‑technical business users. Proficient in Mandarin is added advantage.
- High level of interpersonal skills to work effectively with others across different departments and levels of the organization.
- Proficiency in Microsoft Office products for reporting, documentation, and project tracking.
- Should have understanding concept in system programming, system interface/API integration, databases management, and data mapping.
- Understanding of Software Development Life Cycle (SDLC) methodologies, including Waterfall, Agile, and Hybrid models.
- Ability to translate complex business requirements into technical functional specifications.
- Understanding of basic IT security principles, including access control, data protection, backup and recovery, and compliance with IT security policies and audit requirements.
- Strong problem-solving skills with a focus on data-driven decision-making.
