Job Description

Key Responsibilities

Project Coordination & Support

  • Assist in planning, executing, and monitoring multiple projects simultaneously
  • Coordinate project activities and ensure timely completion of deliverables
  • Maintain project documentation, including project plans, status reports, and meeting minutes
  • Track project milestones, dependencies, and critical paths

Stakeholder Management

  • Liaise with internal teams and external stakeholders, particularly Mandarin-speaking clients and vendors
  • Facilitate communication between cross-functional teams and project stakeholders
  • Schedule and organize project meetings, workshops, and presentations
  • Translate project documents and communications between English and Mandarin as required

Reporting & Documentation

  • Prepare weekly and monthly project status reports for management review
  • Maintain project repositories and ensure all documentation is up to date
  • Create and update project dashboards and tracking tools
  • Document project risks, issues, and mitigation strategies

Administrative Support

  • Support senior PMO staff with day-to-day project management activities
  • Assist in resource allocation and capacity planning
  • Help maintain PMO standards, templates, and methodologies
  • Coordinate project-related procurement and vendor management activities

Required Qualifications

Education & Experience

  • Bachelor's degree in Business Administration, Information Technology, Engineering, or related field
  • 1-3 years of experience in project coordination, PMO, or related roles
  • Fresh graduates with relevant internship experience are encouraged to apply

Language Skills

  • Mandatory: Fluent in Mandarin (written and spoken) - must be able to communicate effectively with Mandarin-speaking stakeholders
  • Proficient in English (written and spoken)
  • Bahasa Malaysia proficiency is an advantage

Technical Skills

  • Proficient in Microsoft Office Suite (Excel, PowerPoint, Word, Project)
  • Experience with project management tools (Jira, Trello, Asana, or similar)
  • Strong analytical and problem-solving abilities
  • Excellent organizational and time management skills

Preferred Qualifications

  • Certification in Project Management (CAPM, Prince2 Foundation, or similar)
  • Experience in Agile/Scrum methodologies
  • Familiarity with IT, software development, or technology-related projects
  • Experience working with Chinese-based companies or clients
