Your opportunity

We are looking for a proactive and detail‑oriented HR Executive with 2–3 years of experience in HR administration and shared services. This role supports day‑to‑day HR operations, ensures timely and accurate HR service delivery, and contributes to continuous process improvements within the HR function. You will work closely with HR Business Partners, employees, and external stakeholders to ensure a seamless and positive employee experience.

How you will contribute

> HR operations support to the assigned brands

> Geographic Coverage – SEAO

(A) HR Operations & Administration

  • Administrate employee lifecycle documents not limited to contract preparation, certification letters, acceptance of resignation, etc.
  • Support employee onboarding process, personal data collection and maintenance of new hires personnel file (e-Pfile), etc.
  • Administrate all work pass matters such as application, renewal, and cancellation.
  • Manage queries from employees through shared service channel( e.g. ticketing system -Service Now, shared mailbox) and within the service level agreement period.
  • Develop and maintain HR documentation including processes and procedures, user guides, training/operating manuals, standard operating procedures (SOPs).
  • Participate in end-to-end HR process harmonization and improvement projects.

(B) HR System Support and Management

  • Provide first level of support conducting basic troubleshooting of issues in our HR Information Systems (Workday) and Time & Attendance Systems (BIPO & Humaforce).
  • Work and collaborate with external vendors on HRIS issues, including escalating request for any technical support required.
  • Perform validation and quality checks in HRIS (Workday)
  • Support HR analytics by preparing dashboards and data extracts when required.
  • Assist in HR system enhancements or UAT for new features

(C) Invoice & Vendor Management

  • Receive, verify, and process HR-related invoices (e.g., T&A system, payroll system).
  • Ensure invoices are accurate, matched with purchase orders/quotations, and submitted for timely payment.
  • Track invoice statuses and follow up with Finance or vendors when needed.
  • Maintain an up‑to‑date invoice tracker for audit and reporting purposes.
  • Assist with vendor onboarding documentation for PO creation and liaise with vendors on administrativematters.

(D) Projects & Additional Support

  • Assist with HR projects such as digitisation, process automation, HR policy reviews, and change management initiatives.
  • Provide administrative and coordination support for training programs, surveys, and project events.
  • Any other ad-hoc duties assigned

Who you are

  • Diploma or Degree in Human Resources, Business Administration, or related field.
  • 2–3 years of experience in HR administration, shared services, or HR operations functions.
  • Familiarity with HRIS platforms (Workday) and basic HR processes across the employee lifecycle.
  • Strong attention to detail, organisation skills, and ability to manage multiple tasks and good time management
  • Customer oriented with good communication and interpersonal skills.
  • Proficient in Microsoft Office (Excel, Word, PowerPoint); experience with data handling is an advantage.
  • Able to work independently as well as collaboratively in a team environment.
