Job Description

We are opening new stores across Malaysia, and we need a Legal Admin Executive who is more than just a desk warrior. We need a Runner Extraordinaire who knows the ins and outs of local government agencies and can navigate the maze of licensing with ease.

Ideal Candidate Profile:

  • Diploma degree in Business Administration, Office Management, or a related field.
  • At least 2–3 years of experience in an administrative role, preferably within a legal department of retail or F&B industries or in a law firm with similar experience.
  • Experience in the F&B industry is preferred due to the specific compliance requirements (health, safety, and local licensing).
  • Familiarity with the different requirements of various state and local authorities in Malaysia.
  • Ability to handle the groundwork of manual submissions and follow-ups.
  • Must be highly aware of and compliant with sensitive and confidential data handling.
  • Preferably have own transport (Motorbike is highly preferred for efficiency; Car is acceptable) and a valid driving license.
  • Must be able to travel frequently within the Klang Valley and Selangor regions for submissions.

Job Role:

Licensing & Permits: Manage submissions for business licenses and permits, especially for New Store Openings (NSO).

Authority Liaison: Act as the primary point of contact for local authorities in Klang Valley and Selangor.

Government Relations: Deal directly with various statutory bodies, including:

  • SSM Business Registration
  • Premise & Signboard Licence (Local Council (e.g. DBKL)
  • Fire Department (Bomba)
  • Utilities (Electricity and Water providers)
  • Building Control (Land government/admin bodies)
  • Health Officers (FOSIM)

Tracker Management: Maintain and update the legal and licensing trackers to ensure all store documentation is current and compliant.

Administrative Support: Handle wet ink authorizations and physical document filing.

Confidentiality: Ensure proper handling of all sensitive, Private & Confidential (P&C) legal information.
