Job Description

Responsibilities:

  • Provide administrative support to the Legal and Compliance team across various business lines.
  • Assist in compiling, organizing, and maintaining legal and compliance documents, including contracts and regulatory submissions.
  • Ensure all documents are accurately filed and easily retrievable through proper maintenance of physical and digital filing systems.
  • Support the onboarding process by preparing and coordinating required documentation for new clients and business partners.
  • Track key deadlines and assist in the timely preparation of recurring compliance submissions and internal reports.
  • Coordinate and liaise with internal departments to facilitate document collection and information gathering.
  • Assist with general secretarial duties including drafting simple cover letters, updating trackers, and scheduling meetings.
  • Provide basic translation support between English and Chinese (Mandarin), as needed.
  • Maintain confidentiality and ensure accuracy in handling sensitive information.

Requirements:

  • Minimum SPM / Diploma / Certificate in Office Administration or equivalent. A university degree is not required.
  • Prior administrative experience in a corporate environment is preferred, but fresh graduates are welcome to apply.
  • Highly organized with strong attention to detail.
  • Able to work independently and manage multiple tasks efficiently.
  • Proactive, dependable, and a strong team player.
  • Proficient in Microsoft Office (Word, Excel, PowerPoint) and document management systems.
  • Good command of written and spoken English and Mandarin to liaise with regional counterparts in Hong Kong and China.
