Job Description

About the Role

This role is responsible for running the Bank's real estate portfolio and property projects, including tenancy agreements, branch refurbishments, fit-outs, relocations, and renovations. The role ensures property assets are managed efficiently and that all tenancy, leasing, and project execution requirements are delivered within agreed timelines, budgets, and compliance frameworks.

What you will do:

  • Run end-to-end leasing activities for investment properties, including tenant sourcing, prospecting, viewings, negotiations, and occupancy initiatives to drive occupancy rate.
  • Manage the lease and tenancy lifecycle for HQ, branches, and investment properties, including commencement, renewal, expiry, handover, reinstatement, inspections, and deposit reconciliation.
  • Prepare, administer, and maintain tenancy agreements, lease-related documentation, and accurate lease records in a centralized repository.
  • Monitor key lease dates, renewal options, notice periods, rent reviews, and other lease obligations to ensure timely action and no missed deadlines.
  • Ensure rental, service charge, utility, and other lease-related payments are accurate, billed, collected, and paid on time where applicable.
  • Liaise with the stakeholders i.e. landlords, tenants, building management and leasing agents, and prepare management report for lease, tenancy and occupancy.
  • Support project planning and coordinate vendor works to ensure activities are completed according to schedule.
  • Support repair and reinstatement work when vacating premises, ensuring smooth completion of required activities.
  • Ensure property management activities comply with regulatory requirements and internal policies.
  • Coordinate vendor activities and monitor service delivery to ensure compliance with contract requirements, specifications, project timelines, and landlord guidelines.
  • Review and verify invoices, supporting documents, and work completion prior to payment processing.
  • Monitor vendor performance, resolve operational issues, and support continuous service improvement.
  • Maintain contract records, service documentation, and vendor performance reports to ensure compliance with internal policies and governance.
  • Track CAPEX and OPEX utilisation for property, projects and leases.
  • Maintain records of cost allocations, payment status, and budgets.
  • Identify cost optimisation opportunities during projects.

  • The job holder may also be required to undertake other responsibilities as assigned by the Immediate Leader or Head of Division consistent with the role's scope and level of authority.

Skills and experience you possess:

  • Bachelor's degree in Real Estate /Property / Facilities / Business Administration, or any related field.
  • Possess a minimum of 3 years experience in leasing and tenancy management, including lease administration, landlord engagement, lease renewals, and tenancy compliance.
  • Experience in managing real estate portfolios, with the ability to oversee occupancy matters, lease obligations, and property-related initiatives across multiple locations.
  • Proven experience in property projects, including fit-out, refurbishment, relocation, and reinstatement activities.
  • Strong understanding of workplace management and facilities operations, ensuring efficient and effective support of business premises.
  • Knowledge of workplace safety, security, and regulatory compliance standards is an added advantage.
  • Good understanding of lease administration, property operations, and facilities management.
  • Good communication, negotiation, and relationship management skills.
  • Project management and site coordination skirls,
  • Good in managing CAPEX and OPEX budget and expenses
  • Strong operational and administration management skills.
  • Familiar with Autocad and other relevant tools.
