Job Summary:
The Admin Executive is responsible for the overall administration and coordination of office facilities and support services for all employees. This role includes managing and replenishing office supplies, coordinating with service personnel, technicians, and contractors on office maintenance matters, and ensuring the cleanliness and functionality of the workplace.
The Admin Executive will ensure that general office administration processes run efficiently and that all administrative procedures comply with ISO/IEC 27001 and SSAE 16 certification requirements. The role also serves as a backup during the absence of Front Desk personnel.
Key Responsibilities:
- Manage daytoday office administration, facilities, and support services.
- Administer, monitor, and reorder office supplies to ensure constant availability.
- Coordinate and liaise with service providers, technicians, and external contractors for office maintenance, repairs, and cleaning.
- Monitor and maintain general office cleanliness and operational readiness.
- Ensure all administrative processes comply with ISO/IEC 27001 and SSAE 16 standards.
- Maintain records of administrative activities, service contracts, and office inventory.
- Support reception and front desk duties during staff absence.
- Assist in planning and organizing company events, meetings, and logistics when required.
Job Requirements:
- Diploma or Degree in Business Administration or a related field.
- Minimum 3 years of working experience in administrative or office management roles.
- Strong proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
- Excellent communication skills in English and Bahasa Malaysia.
- Strong planning, organizational, and timemanagement abilities.
- Ability to multitask, prioritize, and manage workload efficiently in a fast-paced environment.
- High level of professionalism, responsibility, and attention to detail.
- Proactive and resourceful with strong problemsolving skills.
- Able to work independently with minimal supervision.
- Strong interpersonal skills and the ability to work well with internal and external stakeholders.
- Adaptable and able to remain calm under pressure.
