Discovering the role
As an Office Administrator at Convergint Malaysia, you will play a pivotal role in supporting the smooth functioning of office operations while providing personalized assistance to key executives. You will be responsible for managing administrative tasks efficiently and proactively, contributing to the overall effectiveness and productivity of the organization.
Main Responsibilities
- Provide administrative support to senior executives, including managing calendars, arranging travel, and handling expenses.
- Act as a key link between executives and internal/external parties, ensuring smooth communication and coordination.
- Prepare and organize documents, presentations, and reports for meetings with a focus on accuracy and professionalism.
- Proactively anticipate executive needs to enhance productivity and time management.
- Handle sensitive and confidential information with discretion and professionalism.
- Oversee daily office operations, including inventory, maintenance, and vendor relations.
- Coordinate office logistics, such as space planning and event management, for efficient functioning.
- Manage commercial insurance, contracts, and office renovation matters.
- Maintain office policies and procedures to ensure compliance with company standards.
- Manage correspondence and communication flow, prioritizing and redirecting as needed.
- Support HR activities, including onboarding/offboarding and event coordination, while also assisting in meeting and event coordination, research, and general administrative tasks.
Requirements
- Diploma or Bachelor's degree in business administration, Office Management, or related field preferred.
- Proven experience (2+ years) as an Administrative Assistant, Executive Assistant, or similar role.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office productivity tools.
- Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
- Excellent communication and interpersonal skills, with the ability to interact effectively with individuals at all levels.
- Discretion and confidentiality in handling sensitive information.
- Proactive and resourceful approach to problem-solving.
- Ability to adapt to a fast-paced and dynamic work environment.
