We're looking for an organized, proactive, and detail-oriented Office Manager to support our CEO's office and help keep day-to-day operations running smoothly. You'll be a trusted partner to our leadership and play a key role in keeping things on track.
Key Responsibilities
Manage Correspondence
- Review incoming letters, documents, and communications daily.
- Identify urgent matters and escalate them promptly to the relevant leader.
Office Coordination
- Keep documents organized and easily accessible, while maintaining confidentiality.
- Maintain smooth office operations and support administrative processes.
Leadership Support
- Schedule meetings, appointments, and travel for senior management.
- Anticipate needs and help leaders manage priorities efficiently.
Communication Gatekeeper
- Be the first point of contact for internal and external stakeholders.
- Ensure timely, professional, and accurate responses.
Operational Support
- Track deadlines, follow-ups, and action items.
- Flag potential issues proactively to ensure tasks are completed on time.
Administrative Tasks
- Draft memos, reports, and internal communications.
- Manage office supplies and liaise with vendors to keep operations seamless.
Project Assistance
- Support special projects and initiatives, providing administrative input where needed.
Qualifications & Skills
- 3 years and above of experience in office administration or executive support, ideally in fast-paced corporate or startup environments.
- Strong organizational skills and ability to manage multiple priorities effectively.
- Confident written and verbal communication skills; comfortable interacting with senior leadership.
- Proficient in Microsoft Office Suite and office management tools.
- Highly discreet and able to handle confidential information responsibly.
- Self-starter with a proactive mindset; able to anticipate needs and work independently.
