Job Overview
We are seeking a proactive and detail-oriented Operations Assistant to join our school's General Operations team. This role is crucial for ensuring smooth daily administrative, facilities, and basic IT operations, supporting staff, teachers, and students in a dynamic educational environment. The ideal candidate is a multitasker with strong organizational skills, problem-solving abilities, and a passion for enabling efficient school functions.
Key Responsibilities
Office Management & Administrative Support:
- Oversee essential office functions like copying, printing, laminating, and managing office/pantry supplies for seamless operations.
- Maintain and update school databases and daily student attendance records, generating accurate reports for faculty and leadership.
- Provide first-line support for basic tech issues (e.g., computers, printers, projectors) via face-to-face, phone, email, or ticketing.
Procurement, Inventory & IT Maintenance
- Assist in ordering supplies, tracking IT inventory (devices, peripherals), and ensuring optimal stock levels.
- Perform routine hardware/software maintenance, including updates, backups, antivirus scans, and basic device setups for classrooms/labs.
- Liaise with vendors for timely deliveries, repairs, and cost-effective solutions.
Facilities, Network & Compliance
- Coordinate preventive maintenance for facilities, equipment, Wi-Fi/network connectivity, and AV systems to minimize disruptions.
- Ensure data backups, adherence to IT policies, data protection standards, and regulatory compliance (e.g., preparing documents for government submissions).
- Conduct daily/weekly checks, generate incident reports, and maintain organized physical/digital filing systems.
Collaboration & Projects
- Support school-wide initiatives, events, and cross-departmental teams (admin, academic, facilities).
- Deliver basic user training on tools like Microsoft Office 365 and serve as a point of contact for staff inquiries.
Requirements
- Education: Diploma or Bachelor's in Business Administration, Office Management, IT, Computer Science, or related field (preferred).
- Experience: Fresh graduates welcome! Minimum 1 year in administrative, operations, IT support, or helpdesk roles (education/school preferred).
- Language: English (preferred).
