You are responsible for providing administrative and coordination support to the Operations team to ensure efficient day-to-day activities across production, logistics, maintenance and customer delivery functions.
What You'll Do
Operational Administration
- Provide administrative support to the Operations team, including data entry, documentation, claim and filing in compliance with company policies and quality standards.
Coordination & Communication
- Coordinate travel, accommodation, and financial arrangements.
- Coordinate closely with Production, Warehouse, Logistics, and Customer service to track orders and ensure on-time delivery.
Reporting & Data Management
- Prepare and maintain daily, weekly, and monthly operational reports.
- Monitor key operational metrics and highlight discrepancies or trends.
Process & Compliance
- Ensure adherence to company SOPs, safety regulations, quality standards, and ensure compliance with financial procedures.
Procurement & Inventory Support
- Support procurement activities such as raising purchase requests and tracking orders.
- Monitor inventory levels and coordinate replenishment activities for Consumable, Part & PPE.
Embed Safety, Compliance & Continuous Improvement Culture
- Champion OHSE compliance, continuous improvement initiatives, and support internal safety audits on a monthly basis.
HR Coordination
- Execute HR-related operational support, including overtime (OT) calculations, allowance processing, and attendance incentive tracking.
What You Need To Succeed
- Diploma or Bachelor's Degree in Engineering, Business Administration, Operations Management, Supply Chain, or related field.
- At least 2 years of administrative or operations support experience, preferably in manufacturing or industrial environments.
- Experience in handling operational documentation, reporting, inventory, planning or logistics coordination is an advantage.
- Proficiency in Microsoft Office (Excel, Word, PowerPoint).
- Familiarity with ERP systems, e.g., M3, SAP, IMDM, Coupa, Concur, Cognos or TMS.
