Purpose of Job:
The Operations Executive plays a critical role in ensuring excellence within the Regional Operations Centre (ROC). The position is responsible for maintaining data integrity, meeting key performance indicators (KPIs), and achieving local and regional quality objectives. The role primarily involves handling port call communications, coordination, reporting functions, and serving as a single point of contact.
The role requires collaboration with local port agents and various stakeholders, including port authorities, terminal representatives, principals, vessel masters, and internal and external partners. While this is a desk-based role, the responsibilities are time-sensitive and demand meticulous attention to detail and effective communication.
Duties and Responsibilities:
- Reporting port call planning activities, including:
- Sending Pre-arrival notices.
- Sending Arrival notices.
- Sending progress status regularly
- Sending Departure reports
- Managing in house system updates from appointment creation to closing
- Input critical operational data accurately into systems post-departure.
- Ensure consistency, security, and accessibility of operational data.
- Coordinate with business partners, including terminals, customers, and vessels, to obtain and disseminate operational information.
- Retrieve data from overseas ports and terminal systems to complete reports.
- Handle additional responsibilities as required, such as vessel service coordination and shipping documentation for Asia-Pacific operations.
Knowledge/Skills/Experience
- General knowledge of shipping operations, port agency business, objectives, strategies, process, and information flow
- Strong written and verbal communication skills to effectively relate data to coworkers.
- Tendency to pay close attention to small details that could impact results.
- Communication skills to engage terminal representatives, principal and/or vessels.
- Must be professional in conduct and practice, and reliable as each report are time critical.
- Creative, responsive, and adaptive in a dynamic environment
Experience
- One to three years experience in Shipping Operations.
