Main Purpose Of The Job
The Parts Administrator (Operations/Warehouse) supports all administration functions of the Parts Department ie paperwork, data collection/input, etc for both operations and warehouse. Job scope entails raising of PO as well as documents preparation for outgoing to customers.
Duties & Responsibilities
- Raising and keying in PO into the DMS for all purchases required by the department.
- Performing goods receiving/IC coding and generating binning lists according to locations and customers orders
- Prepare all shipping documents ie country of origin, actual weight (kgs), volumetric weight (m3) for customers.
- Recording all incoming and outgoing DG items and ensuring compliance.
- Assist in parts claims and following up with the principal, Porsche AG.
- Assist in parts claims and following up with the insurance agent.
- To monitor and record all exchange parts to be locally scrapped.
- To check and coordinate the return of parts under recall campaign as advised by the principal.
- Monitoring both air and sea shipments for ETA.
- To follow up on short landed shipments with forwarder.
- To advise and inform parts advisors on arrival of urgent parts
- Supporting warranty dept on their inquiries for parts claims
- Verifying of invoices from suppliers
- Verifying all overtime hours performed by parts staff
- To update all parts ordered status in the parts dept tracker
- To carry out other duties that may be assigned from time to time by the Management.
Job Requirements
- At least 1 year of administrative duties experience
- Basic knowledge in MS office
- Proficient in English and Mandarin (spoken, read and write)
