Job Description

Job Summary:

The Payroll and Admin Executive is responsible for managing and overseeing all aspects of payroll processing, ensuring timely and accurate compensation for employees. This role also involves providing administrative support, managing employee records, and assisting with HR-related functions to ensure smooth operational efficiency.

Key Responsibilities:

Payroll Management:

  • Process and manage the company's payroll in a timely and accurate manner.
  • Ensure compliance with relevant legislation, regulations, and company policies regarding payroll.
  • Calculate wages, overtime, bonuses, and deductions accurately.
  • Prepare and distribute pay slips to employees.
  • Manage payroll-related queries from employees and resolve any discrepancies.
  • Maintain and update payroll records and systems.
  • Coordinate with the finance department for payroll funding.
  • Prepare and submit payroll reports and summaries to management.

Administrative Support:

  • Maintain and update employee records, including personal information, employment contracts, and attendance records.
  • Assist with recruitment processes, including posting job advertisements, scheduling interviews, and conducting reference checks.
  • Coordinate onboarding and offboarding processes for employees.
  • Manage office supplies and inventory, ensuring necessary supplies are ordered and stocked.
  • Handle correspondence, phone calls, and emails, directing them to the appropriate departments as needed.
  • Organize and schedule meetings, appointments, and travel arrangements for staff.
  • Support the HR department in various projects and initiatives as required.
  • Ensure a safe, clean, and productive working environment.

Compliance and Reporting:

  • Ensure compliance with labor laws, tax regulations, and company policies.
  • Prepare and submit statutory reports and filings, such as tax returns and social security contributions.
  • Assist in audits and inspections related to payroll and HR functions.
  • Generate reports on payroll costs, employee attendance, and other relevant metrics for management review.

Qualifications:

  • Bachelor's degree in Human Resources, Business Administration, Finance, or a related field.
  • Proven experience in payroll processing and administration.
  • Strong understanding of payroll software and systems.
  • Excellent knowledge of labor laws, tax regulations, and payroll best practices.
  • Proficiency in MS Office, particularly Excel.
  • Strong organizational and time-management skills.
  • Attention to detail and high level of accuracy.
  • Excellent communication and interpersonal skills.
  • Ability to handle sensitive and confidential information with discretion.

Preferred Skills:

  • Experience with HR software and databases.
  • Knowledge of additional HR functions such as benefits administration, employee relations, and performance management.
