Job Description

Job Tasks:

  • Manage end-to-end payroll processing as payroll preparer and checker.
  • Validate vendor invoices and ensure correct service charges.
  • Handle recharge processes within FUJIFILM group companies.
  • Collaborate with Finance on payroll provisioning, journal submissions, and bank reconciliations.
  • Prepare payroll and related reports according to SUBSI's requirements.
  • Maintain employee Digital Personnel Files to support digitization efforts.
  • Coordinate with HR Business Partners (HRBPs) for payroll data gathering, validation, and clarification.
  • Validate payroll data, time & attendance records, and onboarding/offboarding processes for accuracy.
  • Resolve payroll data discrepancies in coordination with relevant parties.
  • Manage payroll schedules, ensure adherence to timelines, and coordinate payroll sign-off and bank file approvals.
  • Process statutory reports such as income tax, pension, and insurance contributions.
  • Perform payroll simulations to support HR decision-making.
  • Provide Level 2 payroll support to managers and employees; escalate complex issues as needed.
  • Work closely with vendors and internal teams (Finance, IT, Compliance) to ensure smooth payroll and attendance operations.
  • Develop and maintain SOPs, work instructions, user manuals, and communication materials.
  • Maintain regulatory compliance by staying updated on relevant payroll laws and best practices.
  • Support payroll change requests and other assigned tasks or projects.

Requirements:

  • Strong knowledge of payroll administration and processing.
  • Experience validating payroll data and reconciling vendor invoices.
  • Ability to coordinate with multiple teams including Finance, HR, IT, and Compliance.
  • Familiarity with payroll systems and digital personnel file management.
  • Understanding of statutory payroll reporting and regulatory compliance.
  • Good communication and problem-solving skills for resolving payroll queries.
  • Detail-oriented with strong organizational and time management skills.
  • Ability to develop and maintain documentation such as SOPs and user guides.
  • Experience in managing payroll schedules and ensuring timely payroll processing.
  • Proactive attitude towards continuous improvement and collaboration.
