The Payroll Specialist is responsible for all aspects of payroll processing, ensuring accurate and timely payment of salaries and benefits to employees while maintaining compliance with all applicable laws and regulations. This role requires strong attention to detail, excellent organizational skills, and a thorough understanding of payroll principles and best practices.
RESPONSIBILITIES
- Accurately and efficiently process monthly payroll, including:Calculating and processing salaries, wages, bonuses, overtime, commissions, and deductions.
- Ensuring timely and accurate payment of salaries to all employees.
- Processing new hires, terminations, and salary changes.
- Ensure compliance with all applicable payroll laws and regulations, including the Minimum Wage Act and Employment Act.
- Prepare and submit all required payroll tax filings (e.g., EPF, SOCSO, Form E) to relevant authorities by the specified deadlines.
- Maintain accurate employee payroll records.
- Maintain accurate and up-to-date employee data in the payroll system. Ensure data integrity and accuracy throughout all payroll processes.
- Process employee benefit claims verifying supporting documentation and ensuring eligibility and compliance with company policies.
- Assist employees with benefit enrolment and changes.
- Maintain accurate records of employee benefit plans and enrolments.
- Arrange claim payments to employees in a timely manner.
- Provide comprehensive support to expatriates in completing their individual tax registration process.
- Assist employees with various tax-related matters, including monthly tax deductions, tax residency determination, tax clearance procedures, tax filing, and tax refund applications. Liaise effectively with tax agents to ensure timely and accurate tax clearance for expatriates.
- Develop and maintain internal controls for all payroll, tax clearance and claims processes to ensure accuracy and compliance.
- Communicate effectively with employees, management, and other departments regarding payroll-related matters. Build and maintain positive relationships with employees and colleagues.
- Stay informed about changes in payroll legislation, tax regulations, and best practices in payroll processing.
REQUIREMENTS
- Bachelor's degree in Accounting, Finance, Human Resources, or a related field preferred. High School Diploma or equivalent required.
- Proven experience as a Payroll Specialist or in a related payroll role.
- Proficiency in payroll processing software (e.g., NetSuite, ADP, Paychex). Advanced proficiency in Microsoft Excel (formulas, pivot tables, data analysis).Strong computer skills, including proficiency in Microsoft Office Suite.
- In-depth knowledge of payroll principles, practices, and relevant legislation (e.g., Minimum Wage Act, Employment Act).Strong understanding of payroll taxes, deductions, and benefits administration.
- Excellent analytical and problem-solving skills with strong attention to detail and accuracy.
- Excellent communication and interpersonal skills, both written and verbal.
