About the Role

We are seeking a highly capable, discreet, and proactive Personal Assistant to provide comprehensive support across the Managing Director's personal, household, and family-related matters.

This role requires someone who can operate independently, an excellent planner, very detail oriented, can exercise sound judgement, anticipate needs, and execute tasks with minimal supervision. The successful candidate will be comfortable working in a fast-paced, and family-oriented environment, with the flexibility to support matters outside standard working hours when required.

A genuine enjoyment of working on family and children matters and the ability to balance professionalism with warmth are essential.

Key Responsibilities

1. Personal & Family Support

  • Independently manage personal and children's schedules, including school activities, appointments, enrichment classes, and family commitments
  • Coordinate closely with schools, tutors, caregivers, household staff, and service providers (as and when needed)
  • Handle personal errands, bookings, reservations, and travel-related arrangements efficiently
  • Anticipate needs, proactively follow up on tasks, and resolve issues without constant direction
  • Ability to conduct deep research on any topic and is resourceful
  • Maintain discretion and professionalism in all family-related matters

2. Events & Private Functions

  • Plan, coordinate, and execute family events, celebrations, and private functions
  • Source, engage, and negotiate with vendors (venues, caterers, decorators, entertainers, etc.)
  • Manage budgets, timelines, and logistics, including on-site coordination
  • Ensure events are delivered to a high standard consistent with a private family setting

3. Administrative & Organisational Excellence

  • Maintain accurate personal, household, and family records and documentation
  • Track personal expenses and support basic reporting as required
  • Manage correspondence, reminders, and follow-ups independently
  • Ensure all tasks are completed efficiently, accurately, and on time

4.Working Style & Availability

  • Ability to work independently with minimal supervision
  • Flexibility to work evenings and weekends as required by family and event needs
  • On-call availability for urgent matters, with reasonable notice where possible
  • Comfortable adapting to changing priorities and last minute, ad hoc requests in a private family environment

Requirements

  • Proven experience as a Personal Assistant, Executive Assistant, or similar role, preferably supporting senior executives or private individuals
  • Strong organisational, time-management, and problem-solving skills
  • Demonstrated experience in event or private function planning
  • Resourceful, composed, and solution-oriented
  • Confident communicator with the ability to engage vendors and stakeholders professionally
  • High level of discretion, integrity, and confidentiality
  • Genuine affinity for working with children and family dynamics
  • Additional language proficiency is an advantage.

  • Female candidates are preferred, given the nature of the role and close involvement in family and children-related matters
