Job Description

We are hiring a Founding Admin & Operations Assistant to support the Founder in a newly established startup office. This is a hybrid Admin + PA role in a lean, fast-paced, unstructured environment. The candidate must be capable of handling operations independently, managing the Founder's schedule effectively, and proactively supporting business and personal coordination needs. This role is critical in ensuring the Founder's time, office operations, and key responsibilities run smoothly

Responsibilities:

A. Calendar & Time Management (Priority)

  • Manage and optimize the Founder's calendar
  • Coordinate meetings, resolve conflicts, and protect time

B. Office Administration & Operations

  • Oversee daily admin, supplies, and logistics
  • Maintain a clean and well-organized office

C. Event & Coordination

  • Support event planning and execution
  • Liaise with vendors and manage quotations

D. Travel & Personal Support

  • Handle travel bookings and itineraries
  • Manage ad hoc tasks and requests

E. Property Management

  • Coordinate tenants, track payments, and follow-ups

F. Finance & Documentation

  • Manage claims, receipts, and records
  • Liaise with finance and ensure proper tracking

G. Startup Support

  • Source vendors and information
  • Assist in building processes and solving issues

Ideal Candidate

Experience

  • Fresh graduates or 1–3 years in admin/operations
  • PA or coordination experience is a plus

Skills

  • Strong English; Mandarin is an advantage
  • Organized, detail-oriented, and proactive
  • Strong multitasking and coordination skills
  • Proficient in Google Calendar, Excel, and task tools
  • Own transport required
