Job Summary

The Personal Assistant to the Group CFO is a strategic role that goes beyond traditional administrative support. The position is responsible for managing the Group CFO's priorities, calendar, and information flow, ensuring effective use of the CFO's time and providing meaningful support across the full scope of CFO responsibilities — board and audit committee work, banker engagement, Group strategy, and oversight of the F&A function across 8 operating entities.

The role offers exceptional exposure to the full breadth of Group operations, finance leadership, and senior decision-making — a learning environment unmatched by any other entry or mid-level role in the organisation. The successful candidate will effectively mirror the Group CFO across his work, build deep insight into how a fast-growing Group operates at senior level, and develop into a trusted right-hand to the CFO.

 

Key Responsibilities

Priority Management & CFO Time Optimisation

·       Manage the Group CFO's calendar with judgment — protect deep-work blocks, balance internal vs. external commitments, and prioritise meetings against the Group's strategic priorities.

·       Actively monitor the CFO's time allocation across key workstreams (board work, audit, banker engagement, strategic projects, team management) and flag misallocation.

·       Anticipate CFO needs ahead of meetings — preparation materials, pre-reads, attendee context, and key discussion points.

·       Streamline the CFO's day-to-day workflow and continuously identify ways to ease the CFO's operational load.

Communications, Briefing & Stakeholder Coordination

·       Prepare and proof CFO communications, including board memos, internal memos, external correspondence, and stakeholder updates.

·       Brief the Group CFO ahead of key meetings with concise summaries of materials, attendees, key issues, and recommended outcomes.

·       Manage CFO inbox triage and prioritisation; draft holding responses where appropriate; route enquiries to the relevant senior leadership.

·       Coordinate communications and follow-ups across the senior leadership team, external advisors, and key external stakeholders.

Board & Audit Committee Support

·       Coordinate end-to-end logistics for board and audit committee meetings, including agenda circulation, paper distribution, and attendee management.

·       Support the Group CFO in board paper preparation, review, and quality control.

·       Liaise with the Company Secretary on meeting documentation, minutes, and follow-up actions.

·       Maintain the board and audit committee action log and follow up on decisions to ensure timely closure.

Information Flow & Decision Support

·       Act as a trusted information conduit between the Group CFO and the senior leadership team, ensuring decisions, follow-ups, and information flow efficiently across the Group.

·       Track the status of CFO-led initiatives, strategic projects, and key follow-ups across multiple workstreams.

·       Provide reliable summaries and updates to the Group CFO across the Group's key activities and priorities.

·       Proactively identify potential issues, conflicts, or opportunities in the CFO's workflow and surface them early.

Confidential Documentation & Records Management

·       Maintain the CFO Office confidential filing system across board, audit, Group strategy, banker, and related-party documentation.

·       Ensure information is well-organised, easily retrievable, and available to the Group CFO and authorised parties on demand.

·       Manage CFO travel, accommodation, and expense administration with discipline appropriate to a senior office.

·       Support documentation requirements for advisors, auditors, and due diligence teams as the Group expands.

Process Improvement & Operational Excellence

·       Continuously improve CFO Office processes, templates, and tools.

·       Strengthen internal coordination and information flow between the CFO Office and other senior leadership.

·       Collaborate with senior leadership PAs and the wider executive office to align processes and improve cross-functional efficiency.

·       Perform any ad-hoc duties assigned by the Group CFO.

 

Key Performance Indicators (KPI)

·       Effective management of the CFO calendar and active alignment to Group strategic priorities.

·       Quality and reliability of CFO briefings, communications, and meeting preparation.

·       Reliability of board and audit committee logistics, follow-up, and action closure.

·       Efficiency of information flow, decision tracking, and follow-up across the CFO Office.

·       Continuous improvement of CFO Office processes and operational excellence.

 

Requirements

Qualification

·       Bachelor's Degree in Accounting, Finance, Business, or equivalent qualification.

Experience

·       Minimum 2–3 years experience in PA, Executive Assistant, or senior administrative support roles.

·       Exposure to C-suite or senior management environment is highly preferred.

·       Experience in a fast-growing, multi-entity, or institutional environment is an added advantage.
