Location: Bukit Mertajam, Penang

Job Description

  • Manage the Director's schedules, appointments, meetings, travel arrangements, and functions.
  • Coordinate travel and accommodation requirements, including arrangements involving other parties.
  • Manage personal appointments such as medical, social, and wellness engagements.
  • Handle household management matters efficiently.
  • Arrange travel plans and reservations for the Director and family.
  • Oversee property maintenance, renovations, and vendor coordination.
  • Handle children's school-related matters, extracurricular activities, and scheduling.
  • Manage confidential family records and documentation.
  • Undertake ad-hoc assignments and other related duties as required.

Requirements

  • Diploma or Degree in Business Administration, Communications, or a related field (preferred).
  • Minimum 1-2 years of experience as a Personal Assistant, Executive Assistant, or in a similar administrative role supporting senior management or Directors.
  • Willing to provide support outside standard working hours for flight bookings, ticket amendments, accommodation, and transport arrangements when needed.
  • Strong ethical standards with the ability to handle confidential and sensitive information appropriately.
  • Excellent organizational and multitasking skills with the ability to prioritize tasks in a fast-paced environment.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) familiarity with online collaboration tools (e.g., Zoom, Teams, Webex) is an advantage.
  • Proactive self-starter with strong initiative and minimal supervision required.
  • High level of accuracy and attention to detail, especially in managing documents and correspondence.
