About the role

We are looking for a highly organized, proactive, and trustworthy Personal Assistant (PA) to support the Managing Director. The ideal candidate will act as a right-hand person, ensuring the smooth running of the MD's daily operations, managing schedules, handling confidential matters, and providing exceptional administrative support. This role requires someone who can anticipate needs, solve problems quickly, and maintain the highest level of professionalism and discretion.

What you'll be doing

  1. Manage the MD's calendar, including scheduling meetings, appointments, and coordinating both local and international travel arrangements (including visas and itineraries).
  2. Prepare meeting agendas, take accurate minutes, organize presentations and reports, and follow up on action items.
  3. Handle all incoming calls, emails, and correspondence professionally, prioritizing responses and drafting communications on behalf of the MD.
  4. Act as the primary point of contact between the MD and internal/external stakeholders, including clients, partners, and senior management.
  5. Liaise with various departments (Finance, HR, Operations, etc.) to ensure timely follow-up and execution of matters.
  6. Provide high-level administrative support, including document preparation, expense reports, invoicing, and filing.
  7. Coordinate special projects, company events, Board meetings, Executive Committee sessions, and strategic initiatives.
  8. Conduct research, compile information, and prepare summaries to support decision-making.
  9. Maintain strict confidentiality of all sensitive company and personal information.
  10. Perform any other ad-hoc duties as assigned by the MD.

What we're looking for

  1. At least 5 years of relevant experience as a Personal Assistant, Executive Assistant, or in a similar role supporting senior management.
  2. Excellent command of English, Bahasa Malaysia & Mandarin (both written and spoken).
  3. Strong communication and interpersonal skills with the ability to engage confidently with stakeholders at all levels.
  4. Highly proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and productivity tools (e.g., Google Workspace, Trello).
  5. Strong organizational and multitasking abilities, with the capacity to prioritize effectively under pressure.
  6. Mature, professional, and highly discreet, with excellent judgment and confidentiality.
  7. Detail-oriented with the ability to work independently with minimal supervision.
  8. Pleasant personality and positive attitude.
