Job Overview:
The Principal Facility Specialist is responsible for interpreting internal or external business issues and recommending best practices. They will be tasked with solving complex Real Estate & Facilities-related problems and will work independently with minimal guidance. They may be responsible for leading functional teams or projects and is regarded as a specialist in the field of Real Estate & Facilities. As such, they must have in-depth expertise in Real Estate & Facilities and broad knowledge of the Real Estate & Facilities discipline within the Real Estate & Facilities function.
Responsibilities
Key Tasks and Responsibilities:
- Prepare leases, license agreements, cancellation notices, and renewal letter agreements
- Prepare annual facility budgets and is responsible for payment of rent, operating expenses, and real estate taxes for company leases
- Research and advise the landlord, corporate administrator, counsel, and property manager on rent issues and other discrepancies
- Manage owned and leased property with the company's global real estate portfolio
- Reconcile operating expenses and real estate taxes for year-end
- Perform a variety of activities in support of the Real Estate department reporting to the Sector Real Estate and Facilities Manager
- Interact with the Manager, Real Estate, Sector Program Managers, Sector Legal (also outside council if need be), Risk Management, EH&S, and with Landlords and National Corporate Brokerage Firm
- Manage all aspects of the real estate process as outlined in Corporate Procedures
- Work in conjunction with Sector Real Estate and Facilities Manager, Corporate Broker, and Law Department to issue Request for Proposal (RFP), negotiate real estate leases, licenses, and amendments using Standard Lease terms and conditions
- Engage affected functional departments to perform their responsibilities related to the real estate process
- Understand the categories and supplier markets, and complexities, and have an overall vision of best-in-class procurement needs and practices
- Manage and execute contracts across the organization within in-scope spend categories
- Create negotiation plans with clear desired outcomes and options
- Provide quantifiable and qualifiable analysis of markets, pricing, and savings
- Maintain and adhere to pertinent policies, processes, and systems
- Partner with cross-functional teams including but not limited to Facilities, Real Estate, Environmental Health and Safety, Finance, Legal, and Operations
- Work with stakeholders to document specific business requirements and partner to determine the most favorable short- and long-term category strategies
- Provide Real Estate and Facilities interface with Indirect Sourcing for Category Management and drive a high level of collaboration to optimize spending globally
- Demonstrate a collaborative approach to deliver favorable business outcomes
Qualifications
Essential Qualifications and Education:
- Bachelor's degree in a related area of Supply Chain, Engineering, Finance, or Business Management preferred
- Minimum of 8 years of professional work experience related role
- At least 4 years of people management experience
- Strong organizational and project management skills, detail-oriented, and ability to handle multiple and ever-changing priorities
- Experience working with all levels of the organization, from management and employees to vendors/contractors
- Experience with G-Suite, Microsoft Office, expense reports, AP/AR, and other office administration software
- Ability to learn new technology tools quickly, such as leasing or space management software
- Passion for building and sustaining team culture
- Availability to support occasional evening and weekend work as job responsibilities demand
- Articulate and polished to represent the organization successfully
