The Opportunity

We are looking for a highly organized and detail-oriented professional to join our team as Procurement & Marketing Operations Specialist supporting the operational execution of procurement and marketing activities across the EMEA region. This role plays a critical part in ensuring smooth procurement, financial coordination and compliant marketing content management.

You will act as a key operational partner to marketing, finance and procurement teams, ensuring that marketing initiatives, product launches and international events run efficiently and in compliance with internal policies and regulatory requirements. In this role you will be responsible for

1. Financial Coordination & Procurement Support

  • Liaising with marketing stakeholders to ensure accurate and timely purchase and invoice registrations
  • Processing marketing-related requisitions and converting them into purchase orders in compliance with internal policies
  • Managing supplier setup and PO number creation
  • Following up on past-due orders and coordinating with suppliers and internal stakeholders
  • Tracking invoice reception and sharing information with Finance according to established processes
  • Supporting accrual coordination with Accounting, particularly during quarter-end and fiscal year-end closing activities
  • Tracking and coordinating event-related costs including pre-payments, cross-charges, and cost allocation
  • Ensuring strict deadlines are met for vendor pre-payments before major conferences or internal meetings.



2. Compliant Content Registration & Workflow Support

  • Managing compliant registration of marketing materials in approval systems such as Workfront and CAT
  • Ensuring marketing materials follow the correct approval and review workflows in accordance with EMEA compliance processes
  • Monitoring workflows and following up on incomplete requests to ensure timely approvals
  • Supporting product launches by helping manage content review priorities and timelines
  • Uploading, downloading, and maintaining documentation within systems such as Windchill and print-on-demand platforms
  • Supporting document tagging and maintenance within the EMEA Product Reference Library
  • Providing administrative support for workflow allocation and monitoring in Workfront



Position Specific Skills and Challenges

  • Strong understanding of procurement and financial processes, including purchase orders, invoice tracking, supplier coordination, and accrual management
  • Experience working with enterprise systems such as ERP/procurement platforms and workflow tools (e.g., Workfront or similar)
  • Ability to manage content approval workflows and document control systems in regulated or compliance-driven environments
  • Excellent organizational and administrative skills with the ability to manage multiple priorities and strict deadlines
  • Strong stakeholder coordination and communication skills when working with marketing, finance, procurement, and external vendors
  • High attention to detail to ensure financial accuracy, compliance, and correct documentation management
  • Comfortable operating in a fast-paced, deadline-driven environment, particularly around product launches, events, and financial closing periods.
