Job description:
We are seeking a capable Administrative Assistant with experience in procurement, accounting or SQL-based data entry systems, and import coordination. This role involves managing procurement records, system data entry, and coordinating import processes with Malaysia Customs. The candidate must be able to communicate effectively in Mandarin, English, and Malay.
Requirements
- Proven experience in administrative and procurement roles
- Hands-on experience with accounting systems or SQL-based data entry systems
- Working knowledge of Malaysia Customs import procedures
- Familiarity with import documentation (invoices, packing lists, HS codes, permits, etc.)
- Fluency in Mandarin, English, and Malay (spoken and written)
- Strong attention to detail and ability to manage deadlines
- Proficient in spreadsheets and standard office software
Key Responsibilities
- Manage procurement activities including purchase orders, supplier coordination, and follow-ups
- Enter and maintain accurate data in accounting or SQL-based systems
- Record and track invoices, purchase orders, and supplier details
- Prepare and manage import documentation for incoming goods
- Coordinate with freight forwarders, agents, and Malaysia Customs for import clearance
- Ensure compliance with customs regulations, duties, and required permits
- Maintain organized procurement, accounting, and import records
- Provide general administrative support as required
