The Production Executive plays a key role in the planning, coordination, and execution of event productions. This role requires a strong interest in event structures, materials, and technical setups, as well as hands-on involvement in managing production logistics, suppliers, and budgets. The ideal candidate is detail-oriented, cost-conscious, and passionate about turning creative concepts into safe, functional, and impactful event experiences.
Key Responsibilities
Event Production & Execution
- Plan, coordinate, and oversee the production of event structures including stages, booths, trussing, backdrops, flooring, and custom builds.
- Ensure all event setups meet safety, quality, and technical standards.
- Be present on-site during load-in, show days, and dismantling to manage production operations.
Materials & Technical Knowledge
- Possess strong knowledge of event-related materials such as wood, metal, fabric, acrylic, LED, print materials, and modular systems.
- Advise on suitable materials and production methods based on design intent, budget, and venue constraints.
- Work closely with designers, suppliers, and fabricators to ensure feasibility and accuracy.
Costing & Budget Control
- Prepare production cost estimates and quotations
- Source materials and vendors to achieve the best balance of quality and cost
- Track production expenses and ensure projects stay within approved budgets
- Identify cost-saving opportunities without compromising safety or quality
Vendor & Supplier Management
- Liaise with suppliers, contractors, and technical partners (e.g. fabricators, AV, lighting, rigging, logistics)
- Negotiate pricing, timelines, and deliverables
- Monitor supplier performance to ensure deadlines and specifications are met
Project Coordination
- Work closely with account, creative, and operations teams to understand event requirements
- Develop production schedules and ensure timely delivery of all components
- Handle permits, venue regulations, and technical requirements where necessary
Problem Solving & On-Site Management
- Anticipate and resolve production issues quickly and efficiently
- Adapt to last-minute changes and unexpected challenges during event execution
- Ensure smooth communication between all production stakeholders on-site
Requirements
Requirements & Qualifications
- Diploma or Degree in Event Management, Production, Design, Engineering, or related fields
- Minimum 13 years of experience in event production or related industries (exhibition, staging, fabrication)
- Strong interest and hands-on knowledge of event structures, materials, and build processes
- Good understanding of production costing and budget management
- Ability to read technical drawings and understand build specifications
- Strong organizational, communication, and negotiation skills
- Willingness to work flexible hours, including nights and weekends during events
- Ability to work under pressure in fast-paced environments
Preferred Skills
- Experience with large-scale events, exhibitions, or brand activations
- Familiarity with venue regulations and safety requirements
- Basic knowledge of AV, lighting, and rigging is an advantage
- Problem-solving mindset with strong attention to detail
