Job Description

Job Responsibilities

  • Responsible for providing administrative support and cost control functions to ensure effective project execution. The role covers documentation control, cost monitoring, budgeting support, and financial reporting to maintain project cost integrity and compliance with company and client requirements.
  • Provide day-to-day administrative support to the project team.
  • Maintain proper filing and control of project documents including correspondence, contracts, POs, invoices, and timesheets.
  • Prepare and coordinate project-related documentation such as MOM, letters, transmittals, and reports.
  • Track personnel mobilisation, attendance, and timesheets for onshore and offshore staff.
  • Coordinate with procurement, finance, and HR departments on project-related matters.
  • Assist in preparing project budgets, cost breakdown structures (CBS), and cost forecasts.
  • Monitor project costs against approved budgets and highlight variances to the Project Manager.
  • Track commitments, expenditures, and accruals including POs, invoices, and subcontractor claims.
  • Prepare cost reports, cash flow forecasts, and monthly project cost summaries.
  • Verify invoices, claims, and supporting documents prior to submission for approval.
  • Support procurement activities including PR/PO tracking and vendor coordination.
  • Monitor delivery status and cost impact related to materials and services.
  • Assist in variation orders (VO), claims, and supporting cost documentation.
  • Ensure compliance with company procedures, client requirements, and audit standards.
  • Support internal and external audits by providing required documentation
  • Maintain accurate and up-to-date project cost and admin records.
  • Assist in project close-out documentation and final cost reporting

Qualifications

  • Diploma or Bachelor's Degree in Business Administration, Finance, Accounting, or related discipline.
  • Minimum 35 years experience in project administration and/or cost control in the oil & gas or construction industry.
  • Experience supporting offshore or EPC projects is an advantage.
  • Familiar with project cost control, budgeting, and financial reporting processes.
  • Strong numerical and analytical skills.
  • Good organizational and documentation skills.
  • Proficient in MS Excel and MS Office (cost tracking, reporting).
  • Good communication and coordination skills.
  • Attention to detail and ability to meet deadlines.
