As a Project Admin in the Project Department, you will be the backbone of our project operations, ensuring all administrative tasks are handled efficiently to support seamless project execution. You will work closely with project managers, project coordinator, project engineers to maintain accurate records, facilitate communication, and ensure all documentation requirements are met promptly.
You will ensure that all project paperwork complies with company standards and client requirements, and you will maintain a well-structured filing system for easy retrieval and audit readiness.
Key Responsibilities
- Organising and maintaining project documentation, ensuring compliance with internal systems.
- Providing administrative support to the project management team.
- Managing project rosters to ensure efficient workforce allocation.
- Preparing daily, weekly, and monthly reports to track project progress.
- Using Microsoft 365 for document creation, reporting, and communication.
- Managing purchase orders, obtaining quotes, and processing claims.
- Collaborating with other teams to ensure smooth project operations.
- Performing ad hoc tasks as required to support project needs.
Experience, Competence, Skills & Knowledge:
- At least three years of experience in project or site administration, preferably in construction, mining, or infrastructure projects.
- Proficiency in Microsoft 365, including Word, Excel, Outlook, and PowerPoint.
- Workflow and SuccessFactors experience is preferred.
- Strong organisational and multitasking abilities to handle various aspects of project administration.
- Exceptional attention to detail and accuracy in documentation and reporting.
- Excellent verbal and written communication skills for interacting with team members, clients, and stakeholders.
- Experience working in remote environments. Ability to adapt quickly to new tools, systems, and project requirements.
- Strong ability to prioritise tasks, manage multiple responsibilities, and meet deadlines.
- Ability to collaborate effectively with diverse teams to resolve issues and maintain project momentum.
