Job Description

Role Name: Project and Change Management Specialist / Senior Specialist

Location : Kuala Lumpur, Malaysia

Role Duration: 12 months (extendable)

You will be supporting Strategy, Planning, and Change Management within Group Innovation Office.

As part of group functions, Group Innovation Office (GIO) helps bring innovation and AI into everyday work. The team makes it easier for employees to learn, use, and benefit from new tools that improve how we work and deliver value. GIO works with different business units (BU) to make sure AI and innovation products are not just introduced but adopted and used in day‑to‑day tasks. In addition, GIO leads change management efforts, so new solutions are rolled out smoothly and consistently across the company, helping build a long‑term culture of innovation that matters.

What is the role about

This role supports the GIO across change initiatives, major events, C-level key meetings, communications, and departmental governance and coordination. The focus is on enabling smooth delivery, adoption and communications for GIO's flagship AI product lines, as well as supporting key leadership forums, product microsites, and various other innovation events scheduled along the year.

The role acts as the central coordinator for content preparation, meeting preparation, communications rollout, and stakeholder alignment across internal GIO, other Group Functions, Business Units teams, and external vendors.

Key Responsibilities

1.    Change Management and Communications – Develop Assets and Support

  • Clarify, finalise, and create change assets such as rollout plans, communication templates, operation manual, training deck, training videos, promotional videos, screensavers, LED screens, and microsites (copywriting, design, and branding)
  • Coordinate with vendors to ensure timely updates, correct mock-ups, screenshots and alignment with product branding
  • Manage review cycles with stakeholders and ensure final version signoffs before development to avoid unprecedented new work items
  • Develop announcement templates and newsletter designs, which include banners, call to action, agenda, illustrations, and other key visual

2.    Planning, Coordination and Execution

  • Create and execute the change management plan and other related supporting tasks / activities for GIO
  • Ideate, coordinate, and deliver change management initiatives across stakeholders to achieve various departmental objectives (i.e., how to partner closely with HR to weave in GIO change initiatives (e.g., lunch and learn sessions, awards and competition, product line launches, etc.) into the AI learning program to drive adoption and proficiency of using AI tools
  • Manage logistics and content flow for sessions and events involving top leaderships or relatively large number of crowds
  • Facilitate internal processes for diverse sets of requests in a compliant way (i.e., support vendor onboarding tasks (third party management, sourcing, SOW coordination with internal teams)

3.    Meeting / Forum Governance and Content Preparation

  • Liaise with GIO leaders to confirm agenda, time allocation, and delegations
  • Prepare and maintain decks for various key innovation forums involving Group CEO, BU CEOs and other C-Levels from Group Functions and Business Units

•      Collect all presenter slides and consolidate them into final materials

•      Track outstanding action items and ensure owners update progress

•      Coordinate with stakeholders for inputs (project updates, adoption, etc.)

•      Ensure decks are updated and communicated ahead of review cycles

•      Send formal key reminders with clear instructions and deadlines

  • Act as point-of-contact for these important content readiness

4.    Other GIO Operational Support

  • Support any other GIO-related ad-hoc tasks (i.e., evidence collection and documentation for benefits realization of AI projects)
  • Use power automate to setup automated reminders, event email invites, etc.
  • Ad-hoc creation of email, reports, and other materials as required by leaderships

  • MS Power Automate (Requires Integration of Workflows with Others)
  • MS PowerPoint (Requires Very High Proficiency)
  • MS Excel, Words
  • MS Forms
  • MS Outlook (Requires Proficiency on Email & Calendar)
  • MS Teams and MS SharePoint (Requires Microsite Creation)
  • Other Internal IT Platforms and AI Tools will be guided

Success Measures

  • Excellent communication skills with clarity (clear on outcomes, execution, accountabilities) and humanity (interact with empathy, respect, and the goal of succeeding together)
  • Grit in a relatively new team (Courage to innovate, aim high, and persist)
  • Timely delivery of decks, comms, microsite updates, and change assets
  • Smooth alignment across multiple stakeholders with minimal rework
  • High-quality and accurate content creation and consolidation
  • Effective coordination ensuring all deadlines are met (especially ahead of leadership reviews)
  • Well-organised executive forums, brownbag sessions, and other events
