Project Administrator

Role Overview

The Project Administrator supports Project Managers and project teams in daily project coordination, SAP transactions, billing, invoicing, reporting, and documentation management to ensure smooth project execution.

Key Responsibilities

  • Create and maintain project setup in SAP
  • Update project cost and revenue details
  • Process change orders in SAP
  • Support customer billing and invoice follow-ups
  • Process vendor invoices accurately and on time
  • Track project costs, commitments, and invoices
  • Coordinate with Finance and Project Controls teams
  • Follow up on overdue customer payments
  • Support audits with required documentation
  • Prepare shipping and consignment documents
  • Verify contractor timesheets and billing data
  • Maintain third-party timesheet master data

Mandatory Skills & Requirements

  • Diploma or Bachelor's degree in Business Administration, Finance, Accounting, Project Management, or related field
  • Minimum 5 years of relevant experience
  • Experience in SAP (Project/Finance processes preferred)
  • Good understanding of project costing, billing, and invoicing
  • Strong communication and coordination skills
  • Ability to manage multiple projects and tasks
  • Good analytical and problem-solving skills
  • Fluent in English

Preferred Experience

  • Experience in Project Administration / Project Support / Project Finance roles
  • Experience handling customer invoices and vendor billing
