We are seeking a proactive and resourceful Executive, Project Logistics to support import/ export operations and product compliance activities within a dynamic project environment. This role is responsible for coordinating cross-border logistics activities, ensuring regulatory and product compliance, supporting cost optimization initiatives, and facilitating smooth shipment execution aligned with project timelines.

This role plays a key part in overseeing end-to-end import and export coordination, ensuring shipments comply with domestic regulations as well as international trade, export control, and financial compliance requirements, while supporting efficient and cost-effective logistics operations.

Job Responsibilities:

Trade Management & Project Logistics

  • Coordinate and oversee import and export activities, ensuring compliance with shipping regulations and trade requirements.
  • Manage logistics schedules and shipment execution to align with project timelines and operational objectives.
  • Monitor and analyze logistics performance metrics (e.g. delivery backlogs, fulfillment, lead times, invoices, and costs) to identify issues and drive improvements.
  • Support internal stakeholders in optimizing shipping processes and implementing practical logistics solutions.
  • Review shipping and trade documentation for completeness and accuracy to ensure smooth execution.
  • Support cost efficiency initiatives and continuous improvement efforts across logistics operations.

Regulatory Affairs & Product Compliance Management

  • Support compliance with local HS codes, import regulations, and applicable international product standards across categories such as IT equipment & gadgets, etc.
  • Liaise with country teams and third-party consultants on quotations, product approvals, compliance certifications, licenses, and permits.
  • Track and analyze compliance metrics and support continuous improvement initiatives.
  • Collaborate with local import teams and relevant stakeholders to resolve importation-related issues.
  • Assist in developing and maintaining SOPs related to product compliance and regulatory processes.
  • Monitor regulatory developments and support management in assessing impacts from changing legislation.
  • Maintain and update regulatory databases, reports, licenses, permits, certificates and related documentation for proper record keeping.
  • Manage tracking logs for compliance certificates, safety approvals, permits and related regulatory documents.

Project Support & General Responsibilities

  • Participate in project meetings to provide logistics and compliance updates, identify risks, and support issue resolution.
  • Support ad hoc project assignments and other duties as required.

Required Qualifications & Experience:

  • Bachelor's degree in Supply Chain, Logistics, Business Management or related field, with minimum 2 -3 years of relevant experience.
  • Experience in import/export coordination, trade compliance, regulatory compliance, or supply chain operations in a similar environment.
  • Good understanding of customs operations, import regulations, and compliance requirements.
  • Good understanding of trade compliance, HS codes, and other deemed relevant compliance requirements are added advantages.
  • Exposure to working with third-party agencies, product compliance matters, and/or ISO related environments is an advantage.
  • Strong analytical, problem-solving and coordination skills with the ability to contribute ideas to address operational challenges.
  • Detail-oriented, self-motivated, adaptable, and able to work effectively in a fast-paced project environment.
  • Strong interpersonal and communication skills with the ability to engage stakeholders at all levels.
  • Proficient in Mandarin and English (written and spoken), as the role requires frequent collaboration with counterparts in China.
