Job Description

Function: Project Management Office (PMO) / Digital & Transformation

Location: Petaling Jaya

Internship Duration: 3–6 months (flexible)

Role Purpose

The PMO Intern will support the Project Management Office in tracking, coordinating, and reporting on digital, transformation, and continuous improvement initiatives across multiple teams. This role provides hands-on exposure to project governance, reporting, stakeholder coordination, and enterprise transformation initiatives.

Key Responsibilities:

Project & Portfolio Support

  • Support PMO leads in tracking project milestones, timelines, and deliverables across multiple workstreams.
  • Maintain and update project trackers, dashboards, and status reports.
  • Support preparation of weekly/monthly PMO reports for leadership review.

Governance & Documentation

  • Assist in maintaining standard PMO artefacts such as project charters, RAID logs (Risks, Assumptions, Issues, Dependencies), action logs, and meeting minutes.
  • Ensure project documentation is up to date and stored in the appropriate SharePoint/Teams location.
  • Help enforce basic PMO standards, templates, and cadence across initiatives.

Coordination & Communication

  • Support coordination of meetings, workshops, and forums (e.g., Tech Together sessions, digital community connects).
  • Track action items and follow up with stakeholders to ensure timely closure.
  • Support communication of project updates, timelines, and key messages to stakeholders.

Reporting & Analytics

  • Assist in preparing simple dashboards or reports (Excel / Power BI preferred) to track:
  • Project status
  • Capacity or allocation (where applicable)
  • Milestones and dependencies
  • Conduct basic data quality checks to ensure accuracy of PMO reporting.

Continuous Improvement & Learning

  • Support process improvement initiatives related to project delivery and reporting.
  • Participate in digital upskilling, PMO best practices, and transformation initiatives.
  • Provide suggestions to improve PMO processes, templates, or ways of working.

Required Skills & Competencies

Technical / Functional

  • Basic understanding of project management concepts (e.g., milestones, deliverables, risks).
  • Proficiency in Microsoft Excel (tables, formulas, basic analysis).
  • Familiarity with PowerPoint for slide preparation.
  • Exposure to Teams, SharePoint, or Planner is an advantage.
  • Power BI / data visualization exposure is a plus but not mandatory.

Core Skills

  • Strong attention to detail and structured thinking.
  • Good written and verbal communication skills.
  • Ability to manage multiple tasks and deadlines.
  • Comfortable working with data, trackers, and documentation.
  • Proactive, organized, and willing to learn.

Educational Background

  • Undergraduate student in Business, Finance, Management, Information Systems, Data Analytics, Engineering, or a related field.
  • Prior coursework or exposure to project management is an advantage.
