Overview
We are seeking a highly organised and proactive Project Coordinator to support the planning, execution, and completion of commercial kitchen equipment projects. The role involves coordinating between clients, suppliers, contractors, sales teams and installers to ensure smooth project delivery, timely installation and high-quality workmanship.
Key Responsibilities
1. Project Coordination & Planning
- Assist the Project Manager in planning project schedules, milestones and installation timelines.
- Coordinate with internal teams (sales, procurement, warehouse, logistics, service).
- Review project drawings, equipment lists, and technical specifications.
- Planning and provision of out-sourced workers to ensure manpower and cost optimisation as required for respective projects.
- Monitor project progress and ensure tasks are completed on schedule.
2. Client & Site Communication
- Act as a point of contact for clients, consultants, and contractors for site-related matters.
- Attend site meetings and provide project updates to stakeholders.
- Communicate installation requirements, service needs and project changes promptly.
- Ensure that site conditions meet equipment installation requirements.
3. Documentation
- Verify equipment readiness (stock availability, fabrication status, custom items).
- Ensure drawings, manuals and technical documents are updated and accurate.
- Coordinate submission of method statements, risk assessments and compliance documents when required.
4. Delivery, Installation & Commissioning Support
- Schedule delivery, installation, testing, and commissioning with internal teams and subcontractors.
- Ensure installation quality follows manufacturer guidelines and project specifications.
- Coordinate with service technicians for commissioning and handover.
- Support troubleshooting or onsite adjustments during installation phases.
5. Quality Assurance & Handover
- Inspect delivered equipment and installations to confirm accuracy and workmanship.
- Prepare handover documents including warranty forms, training records and equipment lists.
- Assist in client training sessions and operational briefings.
- Ensure all snag lists/rectifications are completed before project close-out.
6. Administration & Reporting
- Maintain project files, schedules, installation records and communication logs.
- Update management on project status, risks and issues.
- Prepare weekly or monthly project progress reports.
- Support project cost monitoring and tracking variations.
Requirements
- Diploma or Degree in Mechanical Engineering, Electrical Engineering, Construction Management, Hospitality or related fields.
- 13 years experience in project coordination, preferably in:
- commercial kitchen equipment
- construction / M&E
- F&B projects
- hospitality equipment installation
- Understanding of basic M&E requirements (water, electrical loads, gas connections, ventilation).
- Ability to read technical drawings (layout plans, equipment schedules, M&E).
- Strong organisational and time-management skills.
- Good communication skills in English and Bahasa Malaysia; Mandarin is an advantage.
- Proficient in MS Office; knowledge of AutoCAD is a plus.
