With exciting 2026 ahead of us, we are looking for a talented, strong & precise Purchasing Executive. As a Purchasing Executive, this role supports procurement and purchasing across departments in the outlets by managing purchasing activities, maintaining supplier relationships, ensuring timely procurement, and ensuring compliance with policies and budgets.

Key Responsibilities:

1. ERP & Systems Management

  • Data Integrity: Manage the ERP system (e.g., SAP, Oracle, or Microsoft Dynamics) for all purchasing modules, including SKU creation, Price Books, and Purchase Orders (PO).
  • Inventory Analytics: Use ERP data to monitor stock levels, identify Slow Moving items, and track COGS (Cost of Goods Sold) fluctuations.
  • Automation: Continuously look for ways to optimize the digital ordering workflow between outlets and the procurement office.

2. Procurement & Vendor Management

  • Sourcing: Identify and vet reliable suppliers for fresh produce, dry goods, frozen proteins, and non-food items (packaging/chemicals).
  • Negotiation: Conduct price negotiations and annual contract reviews to ensure cost-competitiveness while maintaining strict quality standards.
  • Performance Tracking: Conduct regular vendor audits to ensure compliance with Food Safety, Halal requirements, and delivery reliability.

3. Outlet Ordering & Fulfillment

  • Centralized Ordering: Process and validate daily/weekly orders from various outlets, ensuring accuracy and preventing over-ordering.
  • Coordination: Liaise with the Central Kitchen or Warehouse to ensure stock availability for outlet replenishment.
  • Issue Resolution: Act as the primary point of contact for outlets regarding delivery discrepancies, quality issues, or emergency stock needs.

4. Supply Chain & Logistics

  • Demand Planning: Analyze historical sales data and seasonal trends to forecast future purchasing needs and prevent Stock Outs.
  • Lead Time Management: Coordinate with logistics providers to ensure the cold chain is maintained and deliveries are optimized for efficiency.

5. Ad-Hoc & Strategic Projects

  • Assist in the procurement of OS&E (Operating Supplies & Equipment) for new outlet openings.
  • Support the culinary team in sourcing alternative ingredients during supply chain disruptions.
  • Prepare monthly cost-saving reports and procurement spend analysis for management

Candidate must:

  • Diploma or Bachelor's in Business Management / Supply Chain Management or a related field
  • At least 3 years relevant experience in (Retails/F&B) industry related to daily purchasing activities, ordering management, inventory and supply chain operation
  • Preferably able to converse in Chinese / Chinese-speaking to effectively liaise with suppliers
  • Strong command of ERP system, Microsoft Excel, VLOOKUP, PIVOT, HLOOKUP, Power BI
  • Ability to work in a fast-paced environment and handle ad hoc request with urgency
  • Strong negotiation and communication skills
  • Meticulous attention and analytical thinking
  • Strong in stock management, stock orderings, cost savings and inventory keeping
