Job Description

Position Summary

To ensure the company complies with all relevant regulatory requirements and to coordinate, track, and improve regulatory processes across multiple countries and business streams.

This role will support the development and implementation of SOPs, regulatory tracking systems, and compliance processes to ensure no lapse in permits, licenses, and certifications.

The role works closely with country teams who execute submissions, and supports Malaysia regulatory follow-up activities (in collaboration with local stakeholders) to ensure timely compliance.

The candidate will also support system implementation, governance tracking, and regulatory process improvements under guidance from the Group Procurement Manager

Responsibilities

Compliance & Monitoring

Ensure the company's compliance to all applicable laws, regulations, standards, set by relevant authorities

Monitor regulatory updates/changes and communicate the impact to management and relevant department

Submission & Coordination

Coordinate and support regulatory submissions with country teams, ensuring documentation completeness, timelines, and compliance requirements are met

Tracking & Renewal

Track, monitor, and manage regulatory permits and renewal timelines across countries using structured tracking systems

Support Malaysia permit and license follow-up, including coordination with local stakeholders to ensure timely renewal and completeness

System & Data Management

Maintain and continuously improve regulatory databases, tracking systems, and data structures to enhance visibility and control

Support implementation and improvement of regulatory systems (e.g. SharePoint / ERP integration), including data preparation and validation

SOP & Process Development

Develop, review, and improve SOPs and workflows for regulatory activities (e.g. licensing, submissions, renewals, new product/country requirements)

Ensure SOPs are practical, usable, and aligned with operational needs across countries

Governance & KPI Support

Identify gaps and support improvements in regulatory processes, governance practices, and compliance workflows

Track regulatory KPIs (e.g. renewal status, risk exposure, document completeness) and support reporting to management

Cross-functional Coordination

Work closely with procurement, operations, commercial teams, and country stakeholders to coordinate regulatory activities and resolve compliance issues

Expansion / New Country Support

Support regulatory requirements for new products or countries, including information gathering, coordination with stakeholders, and execution of compliance-related action

System / ERP

Support the implementation of regulatory approval checks and controls (e.g. SO/PO regulatory controls) within systems under guidance

Qualifications & Requirements

Bachelor's Degree in Business Administration, Law, Compliance, Engineering, Science, or related field.

Additional certification in compliance, regulatory affairs, or quality management is an added advantage.

4-8 years of relevant experience in regulatory affairs, compliance, or coordination roles, with demonstrated ownership of regulatory processes

Experience in regulated industries such as food, pharmaceutical, animal health, feed, or life sciences is preferred

Basic understanding or exposure to import/export regulations, cross-border requirements, or multi-country regulatory coordination is an advantage

Strong documentation and audit readiness skills.

Cross-functional collaboration experience with procurement, sales, operations, and project teams.

Exposure to regulatory or compliance standards (e.g. GMP, HACCP, or equivalent frameworks) is an advantage

Strong communication skills and fluency in English
