Key Responsibilities
1. HR Team Management
- Supervise and guide a team of 3 HR Executives.
- Allocate tasks, monitor work progress and ensure timely completion.
- Review the accuracy and quality of HR work.
- Oversee HR operations for approximately 100 store employees
2. Payroll Management
- Prepare and manage the monthly payroll for all store employees.
- Collect and verify attendance, overtime, commissions, allowances, deductions, unpaid leave and other payroll-related information.
- Ensure payroll calculations and employee information are accurate and complete.
- Prepare payroll reports and supporting documents within the required timeline.
- Work closely with the Payroll Manager on payroll processing, verification and reconciliation.
- Investigate and resolve payroll discrepancies or employee payroll enquiries.
- Ensure payroll-related records and documentation are properly maintained.
3. Recruitment & Manpower Planning
- Manage recruitment for retail store positions, including job posting, candidate screening, interviews, selection and onboarding.
- Lead manpower recruitment for new store openings, ensuring all required positions are filled according to the opening timeline.
- Work closely with Area Managers to understand manpower requirements and hiring priorities for existing and new stores.
- Develop and monitor recruitment plans and hiring timelines for new store openings.
- Monitor store manpower requirements and recruitment progress.
- Maintain a sufficient candidate pipeline to support ongoing store operations and new store expansion.
- Oversee employee onboarding, confirmation, transfer, promotion and resignation processes.
- Monitor recruitment effectiveness and recommend improvements to reduce hiring lead time and manpower gaps.
4. Employee Relations & HR Operations
- Handle employee enquiries, grievances and workplace issues.
- Work closely with Area Managers to resolve employee-related matters.
- Support disciplinary cases, investigations and employee counselling when required.
- Ensure HR practices are aligned with company policies and Malaysian employment regulations.
- Identify potential HR risks and escalate sensitive matters to Management.
5. HR Reporting & Coordination
- Prepare regular reports on store headcount, recruitment, turnover, absenteeism and payroll.
- Maintain effective communication with Area Managers and Payroll Manager.
- Provide HR advice and practical solutions to support retail operations.
- Ensure timely follow-up and closure of HR and payroll matters.
Requirements
- Diploma/Degree in Human Resources, Business Administration or related field.
- Minimum 3-5 years of HR experience, with supervisory or team leading experience.
- Experience in retail or multi-outlet operations is preferred.
- Hands-on experience in monthly payroll processing is required.
- Good knowledge of Malaysian employment practices and statutory requirements.
- Strong employee relations, communication and problem-solving skills.
- Good attention to detail, especially in payroll and employee records.
- Able to manage multiple priorities and meet deadlines.
- Proficient in Microsoft Office and HR/payroll systems.
