Role Description

This is a full-time, on-site role for a Sales Account Coordinator, located in Petaling Jaya. The role involves managing day-to-day sales operations, supporting the sales team, coordinating client accounts, and ensuring customer satisfaction. Key tasks include maintaining strong communication with clients, suppliers, managing documentation, and providing excellent support to both the sales team and customers.

Qualifications

  • Experience in Sales Coordination and Sales Operations, with strong organizational and time-management skills.
  • Proven ability in Customer Service, ensuring high levels of client satisfaction.
  • Excellent Communication and interpersonal skills to effectively liaise with team members and clients.
  • Knowledge and experience in sourcing, supply-chain, logistic and processes, with a goal-driven mindset.
  • Proficiency in using CRM software and other relevant tools is a plus.
  • Bachelor's degree in Business Administration, Logistic, Supply Chain, or a related field is preferred.

Key Tasks

1. Quoting & Proposal Support Assist with sourcing products, materials, and suppliers based on quality, cost, and lead time. Prepare quotes and proposals with accurate costing details, including decoration, packing, setup, and delivery charges. Compare and document at least three supplier quotes to ensure best pricing.

2. Sample & Order Management Arrange product samples as required and track pre-production sample ETAs. Support the order process from confirmation through to delivery, including updating internal stakeholders on progress.

3. Supplier Coordination & Procurement Raise and send purchase orders (POs) to suppliers. Follow up on orders and liaise with suppliers to ensure timely production and delivery. Support the procurement process by collecting quotations and tracking supplier performance.

4. Logistics & Delivery Coordinate deliveries, including courier bookings, freight forwarding, and troubleshooting delays. Prepare and manage logistics and shipping documentation (domestic and international). Share dispatch and tracking details with relevant stakeholders.

5. Job & Costing Administration Create and maintain job records in the costing system. Update job status in line with production milestones.

6. Inventory & Data Management Maintain up-to-date records of inventory, purchase orders, and supplier information. Manage office sample and stock inventory. Ensure all operational data is accurately recorded in shared drives and WIP systems. Update and maintain the client contact database. 7. Internal Communication & General Support Keep the client service team and other internal stakeholders informed of order statuses, delivery updates, and timelines. Assist with resolving supply or delivery issues, escalating when necessary. Provide general administrative and operational support as needed.
