Job Description

Job Overview:

This role is to support the sales and business development team in delivering high-quality administrative and coordination support. This role ensures smooth documentation, accurate record-keeping, and timely follow-ups related to wealth management, trust services, and clients, agents & agency onboarding. The ideal candidate is highly organized, maintains strict confidentiality, and thrives in a compliance-driven, client-centric setting.

Key Responsibilities:

Administrative & Coordination Support

Prepare proposals, onboarding documents, and presentation materials.

Schedule and coordinate meetings, briefings, and internal follow-ups.

Assist in planning and executing events, training sessions, and roadshows.

Prepare internal and external memo to related party for proper communication purpose.

Sales & Client Support

Assist in tracking leads, referrals, and client communications.

Maintain up-to-date sales pipeline and clients, agents & agency data.

Follow up with internal teams to ensure timely onboarding and service delivery

Agent & Agency Support

Assist in onboarding new clients, agents & agency and maintaining records

Monitor agent performance data and update reports for management

Coordinate documentation, agreements, and compliance requirements

Documentation & Compliance

Ensure accuracy and completeness of all clients, agents & agency documentation

Support internal compliance checks, including KYC/AML processes

Maintain proper filing and records for agreements, service forms, and internal memos

Reporting & Communication

Generate regular reports on sales, agent & agency performance, and activities

Support preparation of internal updates, management briefings, and regulatory reporting

Liaise across departments to facilitate operational workflows

To furnish and prepare sales report & etc

Undertake any other duties or responsibilities as assigned by management from time to time.

Requirements:

  • At least 2 years of experience in a similar role.
  • Strong organizational and multitasking skills with attention to detail.
  • Excellent communication and interpersonal skills.
  • Proficiency in Microsoft Office suite (Word, Excel, PowerPoint) and Google Workspace.
  • Self-motivated, highly organized, and capable of working under pressure to meet tight deadlines.
  • Able to work independently and minimum supervision, organized.
  • A team player with a positive attitude and able to collaborates effectively with colleagues.
