Job Description

We are looking for a proactive and detail-oriented Sales Admin Executive to join our Commercial team. You will play a vital role in supporting our Sales Manager by ensuring the smooth execution of the sales transaction cycle—from the moment an order is placed to its final delivery and payment.

Key Responsibilities:

  • Sales & Order Processing: Manage day-to-day administrative tasks, handle customer orders, and ensure all documentation is accurate and processed timely.
  • Delivery Coordination: Liaise with internal teams and logistics providers to coordinate shipments and ensure timely fulfillment.
  • Customer Support: Serve as a key point of contact for customer inquiries, providing regular updates to maintain high service reliability.
  • Payment & Documentation: Track payments, follow up with customers, and ensure proper documentation for invoicing and collections.
  • System Management: Maintain and update sales data, customer info, and transaction details within our SAP system.
  • Administrative & Sales Support: Provide general support to the Sales Manager and collaborate with various internal departments.

Job Requirements/ Qualifications

  • Education: Diploma or Bachelor's degree in Business Administration, Marketing, or a related field.
  • Experience: Minimum of 2 years in sales operations, sales management, or customer service.
  • Industry Knowledge: Exposure to Shipping and Export business is highly advantageous.
  • Familiarity with end-to-end sales processes (onboarding, order management, stock coordination).
  • Understanding of Incoterms, export documentation, and logistics coordination.
  • Working knowledge of ERP systems (specifically SAP) and high data entry accuracy.
  • Fluency in English (required); proficiency in additional languages is a plus for international markets.
  • Strong organizational and time-management skills to handle multiple tasks.
  • Excellent communication skills for liaising with customers and internal teams.
  • A self-starter attitude with a proactive mentality.
  • A team player who is easy-going yet resilient in facing new challenges.
