Role Description

The Sales Operations Executive is responsible for providing administrative support to the sales team and managing various aspects of project coordination. This role involves handling customer inquiries, preparing sales documents, tracking project progress, and ensuring that all sales and project activities run smoothly. The ideal candidate will have strong organizational skills, attention to detail, and the ability to manage multiple tasks simultaneously.

Responsibilities

1) Sales Support:

  • Assist the sales team with the preparation of proposals, quotations, and presentations.
  • Handle customer inquiries and provide timely responses to ensure high levels of customer satisfaction.
  • Maintain and update customer records, sales databases, and CRM systems.
  • Process sales orders and ensure accurate and timely delivery of products/services.
  • Coordinate with the finance department for invoicing and payment processing.

2) Project Administration:

  • Assist in the planning and coordination of projects, ensuring all deadlines are met.
  • Monitor project timelines, budgets, and deliverables, and report on project status to stakeholders.
  • Organize and schedule project meetings, prepare agendas, and take meeting minutes.
  • Track and manage project documentation, including contracts, agreements, and project plans.
  • Liaise with internal teams and external vendors to ensure smooth project execution.

3) Customer and Vendor Communication:

  • Serve as a point of contact for customers and vendors, addressing any issues or concerns.
  • Communicate project updates and sales information to relevant stakeholders.
  • Build and maintain strong relationships with customers, ensuring ongoing support and satisfaction.

4) Administrative Tasks:

  • Perform general administrative duties, including answering phones, managing emails, and organizing files.
  • Assist with the preparation of reports, presentations, and other sales-related documents.
  • Manage office supplies and equipment, ensuring availability and functionality.

5) Process Improvement:

  • Identify opportunities to streamline sales and project processes for increased efficiency.
  • Implement best practices in sales support and project administration to enhance productivity.
  • Provide feedback and suggestions to improve customer service and project management processes.

Qualifications

  • Bachelor's degree in Business Administration, Marketing, or a related field preferred.
  • 2-4 years of experience in sales support, project administration, or a similar role. Experience in project management or coordination is a plus.
  • Strong organizational and multitasking skills with a keen attention to detail.
  • Excellent communication and interpersonal skills.
  • Ability to work independently and as part of a team in a fast-paced environment.
  • Excellent communication and presentation skills, with the ability to convey technical information to both technical and non-technical stakeholders
  • Proactive and self-motivated, with the ability to work independently and as part of a collaborative team
  • Agility and adaptability to thrive in fast paced, evolving startup atmosphere, managing multiple roles effectively
