Job Description

The Role

We are looking for a Sales Operations Specialist who thrives on accuracy, systems discipline, and a focus on keeping processes running smoothly. This role is about owning the order-to-invoice cycle end-to-end from managing sales orders and customer records to coordinating delivery logistics and ensuring invoices flow correctly through our systems.

If you enjoy structured work, spotting inconsistencies, and ensuring that sales, finance, and customers are aligned - this is your stage. You will gain exposure to global order management, EDI/API processes, and the kind of cross-functional, cross-border collaboration that provides experience well beyond a typical sales operations role.

This role is ideal for someone who is detail-obsessed, comfortable working with numbers, and curious about how systems connect to support business growth.

Responsibilities

Order & Sales Operations

  • Manage the full sales order process - from purchase order entry to invoicing in our systems.
  • Track and organize incoming sales orders, ensuring accuracy and timely processing.
  • Handle credit card disputes and refunds within defined policies.

Systems & Data Operations

  • Monitor EDI/API interfaces to ensure orders and invoices flow correctly.
  • Coordinate delivery logistics with key partners.
  • Review and resolve API transaction issues weekly to keep invoice data complete and accurate.
  • Troubleshoot recurring errors - flag issues and escalate clearly to IT when needed.
  • Work with Sales, Finance, and IT teams to keep processes connected.
  • Partner with developers and IT when EDI/Mulesoft integration issues arise, ensuring problems are described in actionable terms.

Requirements

Education & Experience

  • We welcome applicants ranging from fresh graduates to candidates with up to 5 years of experience in Supply Chain, Business Administration, Information Technology, or a related field.

Skills & Competencies

  • Strong attention to detail - you notice the small things others might miss and take pride in keeping records accurate.
  • Comfort with patterns - you can recognize when something looks different from the usual flow and flag it early.
  • Curious about how systems connect - you may not be technical, but you are eager to learn how orders, invoices, and data move through our tools.
  • Comfortable with numbers - matching invoices to system entries does not faze you; you want to get it right.
  • Clear communicator - you can explain what you see in simple terms so others can help resolve issues quickly.
  • Ability to multi-task, prioritize, and organize in a fast-paced environment.
  • A team player with grit, willing to jump in where needed and collaborate across teams.
  • Good computer literacy (especially Microsoft Office/Google Suite); EDI/API exposure is a plus.
  • Excellent communication and organizational skills.
