Job Brief
Responsible for managing documentation, coordinating administrative processes, and ensuring timely execution of compliance-related requirements. The role requires strong attention to detail, effective coordination with internal departments, and adherence to deadlines to facilitate smooth business operations and avoid delays.
Job Responsibilities
- Access and manage online portals (e.g., MyTax Portal) or systems to submit and process documentation.
- Upload and submit agreements or other official instruments as required.
- Verify completeness and accuracy of information before submission and perform necessary checks to ensure compliance.
- Retrieve and validate digital certificates or approvals after processing, ensuring they are properly attached to relevant documents.
- Maintain accurate records and tracking of all processed documents.
- Monitor submission status and follow up with relevant authorities or stakeholders when necessary.
- Liaise with internal and external parties to obtain complete information (business details, registration numbers, contact details, etc.).
- Work closely with Finance for payment preparation, approvals, and record-keeping.
- Track submission deadlines and ensure timely completion to avoid penalties or operational issues.
- Update shared folders and internal systems with processed documents for easy access and reference.
- Monitor multiple agreements and ensure proper workflow tracking.
- Complete assigned tasks within set deadlines, meeting daily KPIs.
- Collaborate with team members to accomplish shared goals.
- Provide general administrative support, including day-to-day office operations and clerical tasks.
- Report completed daily tasks to superior.
- Carry out any other ad-hoc duties as assigned by superior.
Job Requirements
- Candidate should possess a Diploma / Advanced Diploma or equivalent in All Business Field
- Preferably at least 1 year of working experience (related or unrelated); however, fresh graduates are encouraged to apply
- Good communication skills in English, Malay, and Chinese language for both spoken and written
- Preferably candidates specializing in Administrative / Clerical or equivalent
- Proficient in basic computer applications (e.g., Microsoft Office & Microsoft Excel)
- Detail-oriented, able to handle process delays and discrepancies, responsible, and work independently
