Position: Purchasing Executive
Location: Sarawak (Remote work - will be confirm by client when needed to join Sarawak office)
Working Hours: Monday – Friday
- 8:00 AM – 12:00 PM
- 8:30 PM – 12:30 AM
- Salary: Up to RM6,000/month
Job Summary
The Purchasing Executive is responsible for sourcing and procuring materials, supplies, and services required for smooth operational and manufacturing processes. This role manages vendor relationships, oversees purchase orders, and ensures timely delivery while supporting the Supply Chain function.
Key Responsibilities
1. Supplier Management & Relations
- Build and maintain strong relationships with existing suppliers, acting as the main point of contact.
- Identify and develop new suppliers through research, networking, and internal collaboration.
- Perform supplier evaluation and due diligence in line with company policies.
- Support price negotiations and ensure competitive market pricing through benchmarking and cost analysis.
- Monitor supplier performance, addressing delivery, quality issues, and compliance requirements.
- Maintain accurate supplier records in internal systems.
- Assess supply risks and develop contingency sourcing plans.
2. Purchasing & Materials Planning
- Ensure timely procurement of raw materials, semi-finished goods, machinery, and operational supplies.
- Take ownership of material planning, including BOM replenishment and order execution.
- Manage inventory levels in coordination with Operations and Finance.
- Track and follow up on all purchase orders and ensure on-time delivery.
- Provide weekly forecasts for inbound goods and delivery schedules.
- Collaborate with logistics and suppliers for effective delivery planning.
- Determine minimum stock levels and reordering strategies for critical materials.
3. Buying Operations & Documentation
- Maintain and update product, stock, and supplier records.
- Monitor stock levels, backorders, and replenishment needs.
- Follow up on outstanding orders and delayed shipments.
- Handle supplier invoice issues and resolve disputes.
- Investigate and adjust stock discrepancies when required.
- Prepare reports, documentation, and support monthly purchasing meetings.
- Manage price updates, product listings, and supplier information changes.
4. Sales & Customer Support
- Process customer and sales team orders accurately and promptly.
- Handle product inquiries and provide necessary information.
- Prepare sales and product reports upon request.
- Coordinate with internal teams to ensure order fulfillment.
5. Cross-Functional Collaboration
- Work closely with Engineering, Production, Sales, and Marketing teams to source new materials and products.
- Support continuous improvement initiatives in procurement and supply chain operations.
- Assist in maintaining efficient inventory and cost control strategies.
Requirements
- Bachelor's Degree in Supply Chain, Business Administration, or related field.
- 2–5 years of experience in purchasing, procurement, or supply chain operations.
- Strong negotiation and vendor management skills.
- Good analytical and problem-solving abilities.
- Proficiency in MS Excel and ERP systems is an advantage.
- Strong communication and organizational skills.
- Ability to work in a fast-paced manufacturing environment.
