Job Description

Duties & Responsibilities:

1. Executive & Calendar Management

  • Manage and coordinate the Director's daily calendar, appointments, meetings, and travel arrangement.
  • Prioritize schedules, anticipate conflicts, and proactively manage changes in a fast-moving environment.
  • Prepare meeting agendas, reminders, and follow-ups to ensure smooth execution.

2. Communication & Correspondence

  • Screen, prioritize, and manage phone calls, emails, and correspondence with professionalism and confidentiality.
  • Draft, type, and format emails, letters, reports, and documents as required.
  • Act as the primary liaison between the Director and internal/external stakeholder.

3. Document & Information Management

  • Maintain an efficient filing and document management system (physical and digital).
  • Ensure critical documents and information are accurate, updated, and readily accessible.
  • Handle sensitive and confidential information with the highest level of discretion.

4. Financial, Accounting & Analytical Support

  • Perform cost analysis, trend analysis, and basic share market monitoring.
  • Consolidate and reconcile expenses; match expenses against income.
  • Prepare financial summaries, reports, and analysis to support management decisions.
  • Assist with budgeting, tracking, and financial documentation where required.

5. Procurement & Vendor Management

  • Research, evaluate, and compare quotations for purchases and services.
  • Liaise with suppliers, vendors, and bankers to ensure timely and accurate execution.
  • 6. Personal & Ad-hoc Support

    • Manage personal matters for the Director with efficiency, discretion, and sound judgment.
    • Assist in ad-hoc tasks, special projects, and assignments as and when required.

    Requirements:

    • Posses at least a Bachelor Degree in Business Management or other relevant studies.
    • At least two (2) years of relevant working experience as a secretary.
    • Able to speak and write English proficiently in a professional setting.
    • Possess good working attitude and integrity.
    • Meticulous and attention to details.
    • Able to work independently with minimum supervision.
    • High sense of confidentiality.
