Job Summary
The Senior Associate Corporate Services will provide day-to-day support across finance, procurement, administrative, and basic HR functions for other branch operations. This role requires a good working understanding of basic accounting principles, along with the ability to manage procurement processes, general office administration, and HR support tasks to ensure smooth operational support for the business.
Key Responsibilities
Finance Support
- Assist with basic bookkeeping and data entry (accounts payable/receivable)
- Support invoice processing, payment tracking, and expense claims
- Assist in preparation of basic financial reports and reconciliations
- Liaise with the finance/accounts team (local or regional) for month-end closing support
- Maintain proper filing and documentation of financial records in compliance with company policy
Procurement Support
- Assist in sourcing quotations from vendors/suppliers for goods and services
- Prepare and process purchase orders (POs)
- Coordinate with vendors on delivery timelines and follow up on outstanding orders
- Maintain procurement records and vendor documentation
- Support cost comparison and vendor evaluation processes
Administrative Support
- Manage general office administration (courier, stationery, utilities, office supplies)
- Support travel arrangements and logistics coordination for staff/crew as needed
- Assist with document management, filing, and record-keeping
- Support coordination between Thailand office and regional/HQ teams
- Provide general administrative support to management and other departments as required
HR Support
- Provide basic HR support including preparation of employment letters and documentation
- Assist with hiring coordination (e.g. scheduling interviews, onboarding documentation)
- Maintain employee records and HR-related filing
- Prepare basic HR reports as required
- Liaise with Group HR on policy implementation, reporting, and general HR matters
Requirements
Education
- Bachelor's Degree in Accounting, Finance, Business Administration, Human Resources, or a related field
Experience
- Minimum 3 years of relevant working experience in finance, procurement, admin, or HR support roles
Skills & Competencies
- Basic understanding of accounting principles and bookkeeping practices
- Proficient in Microsoft Excel and Office applications
- Familiarity with procurement processes (PO creation, vendor coordination) is an advantage
- Basic understanding of HR processes (hiring documentation, employee records) is an advantage
- Good organizational and time-management skills
- Strong attention to detail and accuracy
- Good communication skills in English
- Ability to multi-task and work independently with minimal supervision
Other Requirements
- Based in Malaysia
- Willingness to coordinate across time zones/departments with the broader regional team, including Group HR, as needed
