What You Will Do
- Execute accurately and on time the agreed day to day processes supporting capital call, subscription, distribution, redemption, transfer and conversion functions across a range of Private Capital Services structures.
- Complete all tolerance checks in line with procedures, investigate any outstanding items thoroughly, and ensure all exceptions are resolved or appropriately cleared within required timelines.
- Perform quality checks and second level validation on output from the team, ensuring control standards, data accuracy, and operational benchmarks are consistently maintained.
- Conduct training for Intern and Administrator staff, providing guidance on standard operating procedures, control requirements, and best practices in transfer agency activities.
- Perform additional ad-hoc tasks allocated by the Supervisor or Manager, supporting projects, process changes, and operational initiatives as required by the business.
- Respond to all queries and incoming emails in a timely and effective manner, ensuring clear communication, accurate information, and appropriate escalation when necessary.
- Develop and maintain good working relationships with other teams within the broader investor services organization, including coordination with sub-custodians and internal departments.
- Support the success of the larger team by providing back-up relief for staff who are absent or on leave, helping maintain continuity of service and productivity.
- Ensure activities and controls are fully documented in comprehensive procedures, contributing to governance, standardized processes, and a professional awareness risk mindset.
- Carefully review all documents to capture all instructions and information accurately, and ensure all deadlines are met in line with defined benchmarks and client expectations.
Your Skills
- Minimum 2 years in relevant operational knowledge and experience, supported by a Bachelor's Degree and/or Master's Degree in Accounting, Finance or related field, with a business administration qualification or degree preferred.
- Experience in Shareholder Services and/or Transfer Agent Services and/or Business Administration with a focus on preferably fund structure, including familiarity with Private Capital Services and related operational workflows.
- Good interpersonal skills and networking abilities with sub-custodians and internal departments, with the ability to work independently and collaborate with the team to achieve collective goals.
- Ability to prioritize team workloads to meet challenging deadlines, able to work under pressure in a face paced-environment, with strong time-management skills and multitasking ability.
- Understanding of and adherence to escalation protocols at all times, being responsible for supporting the Supervisor in guiding the team and serving as the main contact when the Supervisor is unavailable.
- Shareholder services system knowledge including YARDI or equivalent applications, and proficiency with Excel and other Microsoft Office applications used in daily transfer agency operations.
- Additional automation skills such as VBA, Python and etc. are an added advantage, especially when applied to streamlining reporting, reconciliations, and transaction management activities.
- Transaction management and/or payment processing experience, combined with regulatory awareness relevant to transfer agency, shareholder services, and Private Equity & Real Estate Solutions.
