Role Description This is a full-time, on-site Senior Company Secretarial Executive role based in Taman Desa. The person in this role will manage and oversee corporate secretarial functions for a portfolio of clients, including maintaining statutory records, preparing board and shareholders resolutions, and ensuring timely annual and extraordinary general meetings. Daily responsibilities include drafting and filing statutory forms and documents with regulators, monitoring compliance with the Companies Act and relevant listing and regulatory requirements, and supporting incorporation, restructuring, and corporate exercises. The role involves advising clients on corporate governance standards, coordinating with internal teams and external parties such as auditors, lawyers, and regulators, and preparing regular reports and updates on compliance status. The Senior Executive will also guide junior team members, help improve secretarial processes, and contribute to a culture of professionalism and client service excellence.

Qualifications

  • Strong knowledge of corporate secretarial practices, including statutory record maintenance, board and shareholders resolutions, and company incorporation procedures.
  • Solid understanding of the Companies Act, corporate governance requirements, and relevant regulatory and listing rules in Malaysia.
  • Proficiency in preparing, reviewing, and filing statutory forms and documents with authorities such as SSM and other regulatory bodies.
  • Ability to coordinate and manage annual and extraordinary general meetings, board meetings, and related documentation and logistics.
  • Experience in advising clients on compliance, governance, and basic corporate restructuring or transactional matters.
  • Excellent written and verbal communication skills in English; proficiency in other languages commonly used in Malaysia is an advantage.
  • Strong organizational skills with attention to detail, ability to manage multiple deadlines, and a proactive, problem-solving approach.
  • Demonstrated ability to work collaboratively with internal teams and external professionals, and to mentor or guide junior staff.
