Job Description

1. Contract Administration & Governance

  • Administer main contracts and subcontracts in compliance with standard forms of contract (e.g., FIDIC, PAM, CIDB, JCT) and internal company policies.
  • Monitor project milestones, notice periods, and critical contractual deadlines (e.g., delay notices, defect liability periods) to protect the organization's legal and commercial positions.
  • Interpret contract clauses and provide practical, risk-managed commercial advice to project and site execution teams.

2. Financial Valuation & Progress Billing

  • Review monthly interim valuations prepared by Project Team and progress payment applications to clients.
  • Rigorously evaluate, negotiate, and certify subcontractor payment claims, ensuring alignment with work-done progress and back-to-back contract provisions.
  • Monitor retention sums, advance payments, performance bonds, and insurance renewals across all active projects.

3. Variation & Claims Management

  • Identify, evaluate, and price variations (additions and omissions) in accordance with contract pricing mechanisms.
  • Support Project Team for negotiations with clients and subcontractors for disputed variations to reach mutually beneficial, fair commercial resolutions.
  • Assist in the formulation, compilation, and substantiation of Extension of Time (EOT) claims, disruption claims, and loss and expense claims.

4. Cost Control, Budgeting & Reporting

  • Take full ownership of project cost control, budget tracking, and cash flow forecasting, providing regular reports to the Contract Manager.
  • Generate monthly Commercial Status Reports (CSR) highlighting cost variances, committed costs, projected margins, and financial risks.
  • Participate in regular project review meetings to present financial standings and recommend corrective actions for out-of-budget areas.

5. Subcontract Procurement & Administration

  • Draft, review, and finalize back-to-back subcontracts, supply agreements, and service orders in coordination with legal and procurement teams.
  • Conduct post-tender interviews, commercial analysis, and rate comparisons for specialized trade packages.
  • Manage subcontractor performance evaluations, back-charges, and commercial closeout procedures.

6. Final Account Settlement & Audit Readiness

  • Support Project Team for the preparation, negotiation, and finalization of project final accounts with clients.
  • Concurrently drive the settlement of subcontractor and supplier final accounts to minimize long term liabilities and close out projects cleanly.
  • Maintain organized, audit-ready commercial documentation, correspondence registers, and variation logs.

Job Qualification & Competencies

1. Bachelor's Degree in Quantity Surveying, Construction Management, Quantity Surveying & Commercial Management, Electrical Engineering, or equivalent.

2. Minimum 5 to 8 years of progressive working experience in post-tender contract administration, preferably within main contractor or developer environments.

3. Exceptional numerical literacy, financial acumen, and precision in measurement, take-offs, and pricing.

4. Strong negotiation skills backed by a firm understanding of risk allocation and dispute avoidance techniques.

5. Advanced proficiency in Microsoft Office is a plus.

6. Exceptional written and verbal communication skills; capable of drafting clear contractual letters, notices, and commercial correspondence.

7. Strong problem-solving skills with the ability to dissect complex contractual text and financial data under tight deadlines.

8. Collaborative team player with the tact and diplomacy required to manage cross-functional relationships with clients, consultants, and subcontractors.

9. Ability to manage pressure, handle high-stakes negotiations, and multitask effectively across multiple concurrent projects.
