Job Description

Job Purpose

The Senior Executive, Academic Coordinator / Examinations is responsible for coordinating academic operations and managing all examination-related processes at UCSI International School Subang Jaya. This role ensures the effective implementation of academic policies, accurate examination administration, regulatory compliance, and smooth communication between academic staff, students, parents, and external examination bodies. The position reports to the School Principal and works closely with the Academic Leadership Team, Teaching Staff, Admissions, and Administrative departments.

Key Responsibilities

Academic Coordination:

  • Coordinate day-to-day academic operations including timetabling support, class allocations, and subject registrations.
  • Maintain accurate academic records such as class lists, academic progression data, assessment records, and student documentation.
  • Support Heads of Department and teachers with academic planning, reporting timelines, and academic data management.
  • Assist with academic onboarding and briefings for new students and teaching staff.

Examinations Management

  • Coordinate all internal and external examinations (e.g. Cambridge IGCSE, A-Levels, Checkpoint or other international assessments).
  • Serve as the main liaison with examination boards and relevant authorities.
  • Manage examination registrations, entries, amendments, withdrawals, and results processing.
  • Ensure examinations are conducted in full compliance with examination board regulations, safeguarding policies, and school procedures.
  • Oversee examination logistics including timetables, venues, invigilation arrangements, exam materials, and secure handling of confidential documents.
  • Maintain accurate examination records, results databases, and certification documentation.

Academic Administration & Compliance

  • Ensure academic records and documentation comply with Ministry of Education (MOE) requirements and internal school policies.
  • Prepare academic reports and supporting documents for audits, inspections, and accreditation exercises.
  • Support academic quality assurance and compliance reviews.
  • Ensure adherence to internal academic SOPs and examination regulations.

Communication & Stakeholder Support

  • Act as a key point of contact for parents and students regarding academic and examination-related enquiries.
  • Communicate examination schedules, academic calendars, assessment timelines, and academic updates clearly and professionally.
  • Support parent-teacher meetings, academic briefings, and academic-related school events.

Events & Academic Operations Support

  • Assist in the planning and coordination of academic events such as student orientations, academic briefings, award ceremonies, and graduations.
  • Prepare academic information packs and examination-related materials for students and parents.

Other Duties

  • Perform any other duties as assigned by the School Principal or Management in relation to academic coordination and examinations.

Qualifications & Competencies

  • Diploma or Degree in Education, Academic Administration, Business Administration, or a related field.
  • 34 years of relevant experience in academic administration or examinations coordination, preferably in an international school environment.
  • Strong organisational and coordination skills with high attention to detail.
  • Ability to manage multiple deadlines and priorities in a fast-paced academic setting.
  • Excellent interpersonal, written, and verbal communication skills.
  • Proficient in Microsoft Office Suite (especially Excel and Word); experience with student management systems and examination portals is an advantage.
  • Fluent in English; Bahasa Malaysia or Mandarin is an added advantage.
